Say what happened in public, in three sentences. Name the back order, say when he was told, and give the service manager direct number. Nobody expects a dealer to stock every part; they expect to be told.
When is the right moment to ask?
At the closed work order and at machine delivery, while the job is fresh. A mass request to an old customer list drags back complaints you never heard about, which is worth knowing and not worth having on Google.
