Eco resorts · Follow up systems

Answer the midnight enquiry, remind the undecided and invite the guest back.

A follow-up system for an eco resort is the set of replies, reminders and invitations that carry an enquiry from first message to stay and from stay to the next visit. GullySales writes the messages and the routine so that a remote property does not lose a guest to a slow answer.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For eco resorts

Where it usually goes wrong, and what we would do.

  • “The first reply decides the booking”

A guest who writes at night is also writing to two other lodges. The one that answers with the dates, the price, what is included and a clear next step is the one the guest keeps talking to.

  • “Silence after the quote is common”

The guest is checking the group, the leave and the flights. A single reminder that offers to answer questions, sent at a sensible point and in a friendly voice, is welcome. Pushing for payment is not, and a quiet note that the dates are held until a stated day works better.

  • “Pre-arrival messages prevent bad first hours”

A short note on the road, the pickup, what to carry, the weather and the connectivity sets expectations. Guests who arrive prepared complain less about the things the lodge cannot change, such as the signal, the insects or the length of the drive.

  • “After the stay is when the next booking begins”

A thank-you, a request for a review and a note on what the property looks like in another season are the three messages that matter. Few lodges send any, and the guest never hears from them again.

What we do

What we deliver for eco resorts.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A reply template set

First replies for each type of enquiry, with space to add the guest's own question.

Result: The first answer is quick to write and specific.

  2. A reminder routine for open quotes

A single follow-up message and a second final note, with wording that respects the guest's pace.

Result: Undecided enquiries get a reply, not pressure.

  3. Pre-arrival message

A note covering the journey, packing, weather, signal and the stay's rules.

Result: The guest knows what to expect on arrival.

  4. Post-stay thank-you and review request

A message that thanks the guest by name and asks them to describe the stay in a review.

Result: Reviews arrive from guests who stayed.

  5. A season-start invitation to past guests

A note, written for each guest type, that tells them when the park or trail reopens.

Result: Past guests hear about the next season from you.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Will automated messages feel cold?
Not if they are written in your voice and use the guest's details. Use automation for the reminder, and let a person answer any question that comes back.
How many reminders are too many?
Two is respectful for a quote. Beyond that, ask whether the guest wants to be contacted, and stop if they say no or stop replying. Keep their details for later invitations only if they agreed.
What if we cannot reply at night?
Set an automatic acknowledgement that says a person will reply, and keep that promise. Do not state a time you cannot meet, and tell the guest the property has limited signal.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
