Go through the register and mark clients who came back with a second flat, an office, a shop or a parent's house. Set them against clients whose first project is handed over.
Handover date and open defect list
For each handed-over project note the handover date and whether the snag list is closed. A client with an open snag will not give a second project, however good the design.
Other spaces mentioned at briefing
At the first meeting clients mention a parent's house, a shop or an investment flat. Write each one in the file at that time, so a later call is about their own plan.
Projects that came through a past client
Mark which clients were introduced by a past client, an architect or a builder. Count them against those from the website and Instagram, and thank each introducer in person.
Brands and vendors installed per project
Keep a record of the modular kitchen brand, lighting, paint and carpenter used on each project. It lets you answer a service question or a refresh call without sending someone to find out.
Final payments and disputes still open
List clients with an unpaid final bill or a variation dispute. They are the clients least likely to return, so settle them before you call anyone about the next project.

Is it worth staying in touch with a client for years?
For a residential studio, yes, because your clients are the people who go on to fit out offices and second homes. The cost is a few messages and one visit. The alternative is paying for the same enquiry twice.
Should we charge for post-handover service?
Charge for anything that costs a designer a day. Snag fixing in the first weeks is part of the job. Repolishing a wardrobe two years later is work, and a client who pays treats it as a proper visit.
A past client wants a second project but is comparing another designer's quote. Should we match it?
Compare the scope first. Another designer's number often leaves out items you included. Show the line-by-line difference and what the client got last time. Match a price only if the work is truly the same, and write the scope down before you start.
The project manager who ran the site has left. How do we keep in touch with his clients?
Keep every client's file, drawings and contacts in the studio's records, not with the manager. Have a designer or the owner call each recent client to introduce the new contact. Check his agreement on client contact before any dispute.
How soon would we see more signed projects?
Fixing quote follow-up moves first, since the enquiries you already have are the easiest to recover. Ranking for a search such as 2BHK interior designer in your area, and building architect referrals, takes months.
Do we need to advertise?
Most firms gain first from a strong Instagram presence and local search. Advertising helps for a project type with spare design capacity.
