Interior design firms · Follow up systems

Ring the client who took the quote and then went silent.

A follow-up system for an interior design firm is what happens to the client who took the quote and stopped replying. The decision is being made at home, without you, over weeks. GullySales sets the schedule of calls, the reason for each one, and the point at which you park the enquiry.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For interior design firms

Where it usually goes wrong, and what we would do.

  • “Silence is usually a family conversation, not a no”

A couple comparing three quotes goes quiet while the parents look at the numbers. A call with something new in it, a revised scope or a material sample, restarts that conversation.

  • “A paused project needs a date, not a chase”

A client waiting on possession or on a loan is not a lost enquiry. Park it against the month possession is due and call then, instead of ringing every fortnight until they stop picking up.

  • “Every call needs a reason the client can hear”

A call that only asks whether they have decided teaches the client to avoid your number. A call about a material that just arrived, or a flat you finished in their tower, gets answered.

What we do

What we deliver for interior design firms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A follow-up pattern for each stage

Different chase patterns for an enquiry with no site visit yet, one waiting on a quote, and one that has already seen the presentation.

Result: A quiet enquiry is handled according to how far it got.

  2. A reason written against each call

A short list of things worth ringing about: a sample, a nearby project, a vendor price change, a revised scope.

Result: Your team has something to say other than have you decided.

  3. A parked list with wake-up dates

Enquiries paused for possession, a loan or a wedding, each carrying the date to call again and the reason it was parked.

Result: A delayed project comes back to you rather than to a competitor.

  4. A written stop rule

How many attempts a quiet quote gets, what the last message says, and where the enquiry is filed afterwards.

Result: The team stops guessing when enough is enough.

  5. An acknowledgement sent with the quote

A short message confirming the quote has gone, naming what is in it and saying that a call will follow.

Result: A client expects the call instead of treating it as pressure.

  6. Loss reasons captured when somebody says no

One line recorded against the enquiry: price, timeline, style, or a relative's own contractor.

Result: You find out whether you are losing on scope or on price.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for this trade

Here is what the studio does next for each kind of silence after a quote.

Quote sent after the first meeting
Ring the person who attended and ask who else will see it, such as a spouse or the parents. Write the names and ask when they will meet to discuss it.
3D design shown, client quiet
Ask which room or view the family liked best, and what they would change. Record this, and send a revised view of that room alone.
Client comparing two studios
Ask what the other studio included that you did not, such as the kitchen or the electrical work. Write the difference on the record.
Client asking for a discount
Offer a reduced scope, such as dropping a room or changing the material, and send the revised quote. Do not drop the fee without changing the work.
Waiting for the flat's possession
Write the possession date and set a call before the builder's final handover. Ask whether he wants the layout adjusted before handing over.
Project handed over
Call the family after a few weeks to ask whether anything needs fixing. Ask whether a friend or relative is planning a similar project.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for interior design firms

  1. 1

    Assess

We look at how your portfolio signals budget, how quotes are followed up, your timeline track record, and how referrals are tracked.

  2. 2

    Fix the follow-up

A quote follow-up schedule and a simple process for booking a site visit without back-and-forth delay.

  3. 3

    Build the portfolio

Projects organised by type and budget band, with real client photos and a written brief and solution for each.

  4. 4

    Bring enquiries in

Local search, a well-organised Instagram and Pinterest presence, and referral relationships with architects and builders.

  5. 5

    Convert and retain

A clear site-visit-to-contract process, honest timeline communication, and a referral ask after a project's handover.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How many times should we call a client who is not replying?
Fewer times than most studios do, with something new in each call. Three calls that carry a reason beat eight that ask the same question. Agree the number and hold your team to it.
The client says they are waiting for possession. What now?
Park the enquiry against the possession date and stop chasing. Send one useful thing before then, such as what to check at handover. Call in the week they collect the keys.
Who do we call when two people in the family decide?
Call both, in a way that does not set one against the other. Ask in the first meeting who pays, who decides on the kitchen and who decides on the bedrooms. Write each name against its area, and send each person the part of the quote they care about.
The client says he went with another designer. Should we reply?
Send one gracious message wishing him well, and ask whether the family would like to be in touch for a later phase such as a second room. Record the reason if he shares it. Do not question the other studio.
How soon would we see more signed projects?
Fixing quote follow-up moves first, since the enquiries you already have are the easiest to recover. Ranking for a search such as 2BHK interior designer in your area, and building architect referrals, takes months.
Do we need to advertise?
Most firms gain first from a strong Instagram presence and local search. Advertising helps for a project type with spare design capacity.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
