Textile manufacturers · Follow up systems

The swatch left the mill and nobody has asked whether it reached the table.

A follow-up system for a fabric mill covers the swatch sent and never acknowledged, the quotation waiting on a costing meeting, and the buyer who has gone quiet since last season. GullySales sets the follow-up against the buyer's sampling calendar and names who chases the merchandiser.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For textile manufacturers

Where it usually goes wrong, and what we would do.

  • “Chase the courier, then chase the meeting”

Two follow-ups do different jobs. The first confirms the hanger reached the merchandiser's desk. The second, timed to his selection meeting, asks whether your quality made the board.

  • “The merchandiser who handled you has probably moved”

People change jobs often in this trade, and an unanswered mail usually means the address is dead rather than the interest. Ask for a second contact in the sampling team at the first enquiry.

  • “A quotation goes stale while it waits”

Yarn moves, and a rate quoted weeks ago is no longer one you would honour. Put a validity date on every quotation and let the expiry itself be the reason for the follow-up call.

What we do

What we deliver for textile manufacturers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Swatch dispatch logged with the docket and a chase date

Every hanger or swatch recorded with the courier docket, the person it went to and the date somebody will confirm it arrived.

Result: No sample sits on a desk unacknowledged.

  2. Follow-up timed to the buyer's selection meeting

The date the merchandiser expects to decide, captured at dispatch, with the call scheduled just before it.

Result: You are in his mind when the quality is chosen.

  3. A second contact held for every account

A second name in the sampling or sourcing team recorded at the first enquiry, used when the first contact stops replying.

Result: A resignation does not end the relationship.

  4. Quotation validity used as the follow-up trigger

Each quotation carries a validity date, and the expiry generates the call that offers a revised rate against current yarn.

Result: Your price stays current and the call has a reason.

  5. A written stop rule and a seasonal revisit list

An agreed number of attempts, after which the buyer moves to a list contacted when his next sampling season opens.

Result: Nothing is chased forever, and nothing is lost.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for textile mills

Each swatch, quotation and lapsed buyer has a merchandiser's name, a dispatch record and a date tied to their selection meeting.

Swatch or hanger dispatched
Log the courier docket and ring the merchandiser to confirm receipt. Ask when the selection meeting is and who sits in it.
Quotation waiting on costing
Ask the merchandiser when costing is reviewed and what the target rate and MOQ are. Record both and ring just before the meeting.
Buyer gone quiet since last season
Ask for the sampling team's other contact and write with a new GSM, width or finish matching their range. Record the season and the product they bought.
Contact has left the company
Look for the replacement through the buying office or the sourcing head and write a short note recalling the earlier order. Mark the old mail dead in the record.
Trial order placed
Ring the merchandiser when the lot is dispatched and ask for the quality feedback and the decision on the repeat. Record any shade, shrinkage or GSM comment.
Export buyer's agent asks for pricing
Ask the agent for the buyer's name, the destination and the certification needed. Record who pays for samples and the target shipment date.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the follow up systems work runs

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

We sent a swatch and heard nothing. How long do we wait?
Confirm delivery within a day or two of the courier showing it delivered, then hold the next call for his selection meeting. Waiting quietly for a reply is how a mill finds out in the next season that the hanger never reached the right desk.
The merchandiser we dealt with has left. Do we start again?
Not quite. Ask for whoever now handles that category and refer to the quality reference and the lab dip number already on file. The buying house keeps those records even when the person changes.
How soon should we reply to a buyer who says the sample was not up to the mark?
Reply the same day, thank them and ask for the specific issue: shade, hand-feel, GSM or width. Ask for a returned piece if possible. Record the comment and decide whether to resend; do not argue on the first message.
Should we send our brochure every season to old buyers?
Send something relevant to the buyer's range instead: a new fabric, a certification or a sample of what they bought. Address the right merchandiser, and record the reply. A generic brochure without a reason is easy to ignore.
Can this work for a job-work or private label manufacturer with no brand of our own?
Yes. The pages are built around the specification and certification you produce, not a consumer brand, so the buyer searching for that fabric type finds the unit directly.
Do you help with export buyer outreach?
We build the specification pages and the outbound list for export houses and brands sourcing your fabric type. The compliance documentation and pricing stay with your export team.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
