Outsourced accounting and bookkeeping firms · Lead generation

Find the owners who need a bookkeeper this quarter, and say no early to the rest.

Lead generation for an outsourced accounting firm means bringing in enquiries from owners who want their books, returns and payroll kept regularly, and sorting them from one-off filing requests. Many callers want a single return at the lowest rate. GullySales sets up the sources, the questions asked on the first call and the log that shows which enquiries become signed scopes.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

For outsourced accounting and bookkeeping firms

Where it usually goes wrong, and what we would do.

  • “The one-off filing buyer takes the same hour”

A person who wants a single return filed cheaply and a business that wants a retainer ring the same number. Without a first-call routine, both get the same long conversation.

  • “Backlog enquiries arrive with a deadline attached”

The owner has a lender waiting or a notice to answer. Taking the job without scoping it ends in an unpaid week of overtime and an angry client.

  • “The partner is the only person who answers”

Calls go to the partner's mobile and the WhatsApp stays unread during client meetings. A caller who gets no reply tries the next firm.

What we do

What we deliver for outsourced accounting and bookkeeping firms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A first-call routine of five questions

Business type, software, bank accounts, volume of bills and whether there is a backlog or a notice, asked in the same order and written down.

Result: Every enquiry is sorted before a quote is discussed.

  2. Separate paths for retainer and one-off work

A short reply and a fixed price list for single filings, and a call booking for ongoing bookkeeping, so one-off buyers do not use up partner time.

Result: Partner hours go to the work you want.

  3. A shared number and WhatsApp that someone owns

One phone and WhatsApp for enquiries, with a named person answering and a rule for who takes it on the day of a deadline.

Result: No enquiry waits for a partner's meeting to end.

  4. A source tag on every enquiry

Call, form, WhatsApp, referral, directory and event, recorded when the enquiry arrives and carried through to the signed scope.

Result: You can see which source brings clients who stay.

  5. Takeover and notice offers

Two short offers for the highest-pressure moments, with a page, a checklist and a booking link for each.

Result: The urgent enquiry has somewhere to land.

  6. A report against the baseline

Enquiries by source, scopes sent and signed, and enquiries declined with the reason, read against the baseline recorded before work began.

Result: Partners see where the good enquiries actually come from.

How the result is measured

  • Enquiries generated
  • Cost per enquiry
  • Enquiries by source

Recorded as a baseline before work starts, so every later report has an honest comparison.

Where enquiries come from

The ways an owner reaches an accounting firm, and what to record and say on each.

A call to the office number
Ask the five first-call questions in order and note the answers. If the owner wants only a rate, send a written scope request form and agree a time to speak.
A WhatsApp message with a photo of a notice
Reply with a person's name and a call time. Record the notice type, the date on it and who sent it, and decide the same day whether it is yours to handle.
A form on the takeover page
Record the software, the outgoing accountant's last filed return and the date the owner needs books current by. Call back first for these, as the owner is under pressure.
A practising CA passing on bookkeeping
Record the CA, the client and exactly what stays with the CA. Agree who invoices whom in writing before the first entry is posted.
An introduction from a bank manager
Note the branch, the manager and what the loan file needs. Send a one-page note on the books you will prepare, and update the manager when you start.
A JustDial or directory call
Log it, ask how they found you, and treat price-only callers politely but briefly. Check whether a paid enquiry duplicates one already in your log.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for outsourced accounting and bookkeeping firms

  1. 1

    Assess

We look at where the last clients came from, which jobs you want more of, who handles first calls and how scopes are written today.

  2. 2

    Fix the quote step

A scope template and a reply routine, so every serious enquiry gets a named person and a written scope, not a rate over the phone.

  3. 3

    Build the presence

A website organised by job and client type, a correct Google Business Profile and consistent directory details.

  4. 4

    Show the work

Sample reports, a takeover guide and short answers to the questions owners ask, written from your own files with client details removed.

  5. 5

    Keep the book

A document routine, an early-warning list of clients going quiet, and the second-service conversation.

Proof

What happened when owners fixed this.

Real clients, the work we did, and the result as it was recorded. Where no number was recorded, none is claimed.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Should we buy leads from JustDial or similar sites?
Test it as you would any channel. Ask each caller what they need and record whether they became a signed scope. Many are price-only callers who also rang several firms. Keep paying only if signed scopes, not calls, justify it.
The same owner rang, filled the form and messaged on WhatsApp. How do we count them?
As one enquiry, with the first source as its origin. Match them on phone number when you log them. Counting three inflates your numbers and hides which source actually started the conversation.
Which enquiries are worth a partner's time?
A business whose size, software and scope you can serve, with the person who decides on the call. Someone asking for one return, or a backlog with no records, is not a retainer prospect. Write the rule down so the whole team uses it.
Do networking events and chamber meetings count as lead sources?
They do, when you record them. Note the event, the person met and what they need, and follow up within a few days. Cards left in a drawer give no source and no follow-up, so the event looks as though it brought nothing.
We are run by chartered accountants. Can we advertise?
Only within what your professional body allows, and those rules differ by body and change, so check with your own council or adviser before anything is published. A plain website, correct directory details and articles that share knowledge are the usual starting points. Firms run by non-members of the profession should still ask what applies to their CA partners.
Should we put our fees on the website?
Do not publish a rate. Publish what moves it: the number of bank accounts, the volume of bills, the software, any backlog and whether payroll is included. An owner who sees the drivers understands why a quote differs and rings you to get one.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
