Outsourced accounting and bookkeeping firms · Referral marketing

Make it easy for a CA, a banker or a client to name your firm, and thank them properly.

Referral marketing for an outsourced accounting firm is building the handful of relationships that send you clients: practising CAs, bank managers, software partners and happy owners. Referrals bring the best-fitting clients and are the easiest to lose track of. GullySales builds the list, the introduction routine and the record of who sent whom.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What referral marketing means

Referral marketing is asking an existing customer to recommend you to someone they know, usually with a reward for both sides. It differs from a loyalty scheme because it brings in a new customer rather than a repeat purchase. GullySales builds the ask and the reward into a point where a customer is already satisfied.

For outsourced accounting and bookkeeping firms

Where it usually goes wrong, and what we would do.

  • “Referral sources are not written down”

The partner remembers that a branch manager sent three clients. When the manager moves, the relationship, and the work, leaves with them.

  • “A CA who refers is also a competitor”

A practising CA who hands off bookkeeping may take it back, or take the client's audit elsewhere. Without clear boundaries, the arrangement ends in a quarrel.

  • “Thanks are improvised and sometimes improper”

A gift here and a commission there. Some of that may break a professional body's rules or a bank's policy, and nobody has checked.

What we do

What we deliver for outsourced accounting and bookkeeping firms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A referral source register

Each CA, banker, lawyer, software partner and incubator who sent work, with the clients they sent and the date of the last contact.

Result: A source is thanked and kept in touch with, not forgotten.

  2. A one-page introduction for each source

What you take on, what you do not, what the referrer's client will receive and who to ring, written differently for a CA, a banker and a software partner.

Result: A referrer can introduce you in a minute.

  3. A scope agreement with referring CAs

A short written understanding of what stays with the CA, what you do and who invoices, checked against your own professional body's rules.

Result: The arrangement survives its first misunderstanding.

  4. A thank-you routine within the rules

A call, a note or a joint session, never cash for an introduction unless your professional body clearly allows it.

Result: Referrers feel thanked without anyone being compromised.

  5. A referral line on the enquiry form

A question on how the owner heard of you, and a rule that the answer is written into the log, with the name of the person.

Result: You can see who really sends clients.

  6. A report against the baseline

Enquiries and signed scopes by referral source, and clients from referrals still active by year, read against the baseline recorded before work began.

Result: You know which relationships are worth the time.

How the result is measured

  • Referrals received
  • Referral conversion rate
  • Cost per referred customer

Recorded as a baseline before work starts, so every later report has an honest comparison.

How referrals work in this trade

Who sends clients to an outsourced accounting firm, what prompts them, and how to thank them.

Practising CAs and tax consultants
They refer daily bookkeeping they would rather not do. Agree in writing what stays with them and who invoices, and check fee-sharing and joint work against your own professional body's rules.
Bank and NBFC relationship managers
They refer borrowers whose books will not reconcile. Never offer a manager money or gifts. Offer a clear note, a quick reply and an update when the borrower's books are ready.
Tally and Zoho Books partners
Software resellers meet owners who bought a licence and cannot run it. Share a short introduction and agree a plain referral arrangement in writing, checking the partner's own terms.
Past clients and owner-to-owner
A satisfied owner names you at a trade meeting. Make it easy with a one-line description they can forward and ask at the end of a clean year-end, not during a late return.
Lawyers and company secretaries
They meet founders at incorporation and funding. Offer a first-books note for their clients and a named person to introduce, and record every introduction in the register.
What never to do
Do not pay for introductions where a professional rule or a bank's policy forbids it, quote one client's figures to another, or ask a referrer to vouch for work they have not seen.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for outsourced accounting and bookkeeping firms

  1. 1

    Assess

We look at where the last clients came from, which jobs you want more of, who handles first calls and how scopes are written today.

  2. 2

    Fix the quote step

A scope template and a reply routine, so every serious enquiry gets a named person and a written scope, not a rate over the phone.

  3. 3

    Build the presence

A website organised by job and client type, a correct Google Business Profile and consistent directory details.

  4. 4

    Show the work

Sample reports, a takeover guide and short answers to the questions owners ask, written from your own files with client details removed.

  5. 5

    Keep the book

A document routine, an early-warning list of clients going quiet, and the second-service conversation.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we pay a commission to someone who refers a client?
It depends on who they are. Rules for chartered accountants and for bank staff differ by body and by institution, and change, so check with your own council or adviser first. Where it is not allowed, thank with a call, a note or a shared event instead.
How do we track who sent whom?
Ask on the first call and write the name in the enquiry log, not just the category. Check it again when the scope is signed, since owners often mention a second person. A simple register by referrer shows the pattern within a year of use.
How do we ask a practising CA to refer to us without sounding like a rival?
Start by saying what you will not do: audit, sign-offs and advice that needs their registration. Offer to send their clients' books back clean to them. A CA who sees you protect their client relationship will recommend you.
Is it too much to ask the same client to refer more than once?
Ask at the right time, not often. After a clean close or a well-handled notice is a good moment. Asking after every invoice is tiring, and an owner who has already named you once will do it again when someone asks.
We are run by chartered accountants. Can we advertise?
Only within what your professional body allows, and those rules differ by body and change, so check with your own council or adviser before anything is published. A plain website, correct directory details and articles that share knowledge are the usual starting points. Firms run by non-members of the profession should still ask what applies to their CA partners.
Should we put our fees on the website?
Do not publish a rate. Publish what moves it: the number of bank accounts, the volume of bills, the software, any backlog and whether payroll is included. An owner who sees the drivers understands why a quote differs and rings you to get one.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
