Can we ask every client for a review?
Ask every client you are comfortable asking, and ask at the same moment each time. Do not pick only the happy ones, do not offer a discount or a gift, and check the platform's current rules. Gating the ask to likely five-star clients breaks them.
How should we reply when a client's complaint is unfair?
Keep it short and private. Thank them for the feedback, say you take the filing seriously and invite a call. Defending yourself with facts in public shows the next buyer that you will do the same with their records.
A review names one of our staff. What should we do?
Reply to the client without repeating the staff member's name unless you have checked with the person. For praise, share it with them. For a complaint, talk to the person privately and look at the cause, such as workload at month-end.
Can we get a bad review taken down?
Only if it breaks the platform's rules, for instance a fake or abusive review. Report it and expect a decision from the platform. Nobody can promise a removal, so reply well and let the next reviews say more.
We are run by chartered accountants. Can we advertise?
Only within what your professional body allows, and those rules differ by body and change, so check with your own council or adviser before anything is published. A plain website, correct directory details and articles that share knowledge are the usual starting points. Firms run by non-members of the profession should still ask what applies to their CA partners.
Should we put our fees on the website?
Do not publish a rate. Publish what moves it: the number of bank accounts, the volume of bills, the software, any backlog and whether payroll is included. An owner who sees the drivers understands why a quote differs and rings you to get one.
