Property management companies · Email marketing

Put a sentence of plain English on top of the owner statement.

Email marketing for a property management company runs on lists you already hold, from current owners to the ones who left and the agents who send you work. GullySales splits those lists, rewrites the statement email, and dates the notes that go out at renewal and tax time.

A post room: a wall rack of pigeonholes with sorted letters and strapped bundles, a loaded mail trolley wheeled up in front of it, and on the bench a franking machine with one envelope under the press arm, franked and cleared

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

For property management companies

Where it usually goes wrong, and what we would do.

  • The statement email is the most-read thing you send

It usually goes out as a bare attachment. One line explaining an unusual charge stops half the phone calls that follow it.

  • An owner who left is a list, not a loss

The manager they moved to will annoy them within a year, and nobody in your office is keeping in touch until then.

  • Agents want to hear about their own client

A note saying the house leased, at what rent, and that the eventual sale is still theirs, is the only email an agent reads twice.

What we do

What we deliver for property management companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Lists split by who the reader is

Current owners, past owners, rental analysis enquiries, referring agents and investors held separately instead of in one company list.

Result: Nobody gets an email written for somebody else.

  2. A statement email with a line of plain commentary

The monthly statement sent with a short note on anything unusual, written by the manager who knows that property.

Result: Owners stop ringing to ask what a charge was.

  3. A January note about the year-end report

What the 1099 and the annual statement show, and what an accountant will ask for, sent while owners are gathering papers.

Result: Tax season stops being a week on the phone.

  4. A sequence for owners who have left

Two or three messages across the year after a departure, with nothing resembling a pitch in the first one.

Result: Some of them come back with the same house.

  5. Agent updates sent after every leasing

A short message when a referred house leases, restating that the sale stays theirs, logged against that agent's name.

Result: The referral survives without another lunch.

  6. Sender setup, consent and unsubscribe handled properly

Sending domain authenticated, unsubscribes working, and operational mail to tenants kept well away from marketing sends.

Result: Your mail reaches inboxes instead of spam folders.

How the result is measured

  • Open rate
  • Click rate
  • Enquiries from email

Recorded as a baseline before work starts, then reported every month against it.

  • HOA and condominium association management
  • Short-term and vacation rental managers
  • Student housing near a university

  • New companies inside their first hundred doors

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first monthly report.

No open-ended retainer. Each step has a point in time and something you receive.

  1. 01 · Day 1

    Free audit call

45 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · Within a few working days

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope and fee come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later month has an honest comparison.

  4. 04 · Month 1

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · Every month

    Report against the baseline

What moved, what did not, and what changes next, in plain words.

  6. 06 · Month 3 to 6

    Renew on the numbers

The term ends and you decide whether to continue from the results. No twelve-month lock.

How the work runs for property management companies

  1. 1

    Assess

In the free audit we trace last quarter's owner enquiries and leasing enquiries. How fast was each answered, and which doors were lost and why?

  2. 2

    Fix the first reply

A reply routine and a record for both sides. The owner asking for a rent estimate and the renter asking about a showing are answered while they are still interested.

  3. 3

    Split the website in two

Owner pages with the fee on them, renter pages with the listings, and a separate page for community association work.

  4. 4

    Bring owners in

Local search, the review routine, agent and investor referrals, and advertising aimed at the owner who has just decided to rent the house out.

  5. 5

Fill the units and keep the owners

Listing standards, faster leasing replies, and owner communication in the months when nothing is going wrong and managers usually go quiet.

Proof

What happened when owners fixed this.

Real clients, the work we did, and the result as it was recorded. Where no number was recorded, none is claimed.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every monthly report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No lock-in, no guarantees we cannot keep

Three to six months at a time. We never promise a ranking or a lead count, because nobody controls those.

  • Hours that fit your day, agreed up front

Which hours we overlap with yours is settled before any work starts, so you know when a reply is coming and when it is not.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we email owners who left us?
Yes, while they have not asked you to stop, and every message still carries a working unsubscribe. Keep it useful rather than a pitch. Owners who left over one bad repair often come back.
Should tenants be on our marketing list?
No. Their email is operational: rent, notices, maintenance. Mixing marketing into it produces complaints and unsubscribes, which then block the notices you need them to receive.
Do you need a real estate licence to do this work?
No, and we do nothing that needs one. We write the pages, run the advertising, and send the first reply to an enquiry. Quoting a rent, negotiating a lease, handling trust money and anything else your state reserves for a licensed broker stays with your team.
Our reviews are all from angry tenants. Can that change?
Yes, by asking the people who never think to write. Owners are happiest at the first clean statement and at a renewal, so that is when the ask goes out. The tenant reviews do not disappear, but an owner reading the page sees other owners as well.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
Three to six months at a time. There is no twelve-month lock, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile usually show in weeks, because the enquiries already exist. Ads show in days once follow-up is ready. SEO and content take months. The audit tells you which applies to you.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 45 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the monthly review.
What if we are not happy with the work?
Tell us and the plan changes. Every month is reported against the baseline, so a number that is not moving is visible to both sides. Terms run three to six months at a time, and the refund and cancellation policy sets out the rest.
