Property documentation services · Follow up systems

Tell the buyer when each paper is done, and ask the broker how the file went.

A follow-up system for a documentation office is the set of messages and calls that go out after the first enquiry, at each step of the file and after it closes. GullySales works on who sends what, when it goes and how the office keeps the record.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For property documentation services

Where it usually goes wrong, and what we would do.

  • “The enquiry that cools while the family decides”

A buyer calls, hears the list of papers and says they will think. Nobody calls back. The buyer books another office the next day. A single follow-up call or message, on the agreed day, brings the buyer back to the file.

  • “The NRI who hears nothing assumes trouble”

A buyer abroad who has not heard for a day writes again, and the clerk at the sub-registrar's office answers a phone instead of the work. A short message at each step stops the repeated questions.

  • “The broker never hears how the file ended”

The referrer sent the client and heard nothing. Next time, the referrer sends the client to the office that told them. A brief note when the file closes keeps the relationship warm.

  • “The closed file is where repeat work begins”

A buyer who has bought a flat will need a gift deed, a will or a rental agreement later. An office that stays in touch on the day the khata arrives is remembered when the next paper is needed.

What we do

What we deliver for property documentation services.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A message at every step of a file

Short WhatsApp updates for stamp paper bought, signatures taken, registration done and khata or mutation applied.

Result: The buyer knows where the file stands without asking.

  2. A callback rule for enquiries that did not book

A set day and a named person for the follow-up call, with a script that restates the checklist.

Result: Undecided callers are called back by someone.

  3. A closing note to the referrer

A brief message to the broker, builder or bank officer when their client's file is complete.

Result: Referrers hear the outcome from you.

  4. A reminder for the next paper

A note on each closed file with a sensible reason to get in touch again, such as a transfer still pending.

Result: Closed clients are contacted with a purpose.

  5. A log of every message sent

Each message recorded against the file so that anyone can see what the buyer was told.

Result: No buyer is told two different things.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Will automatic messages feel cold?
Not if they are short, in the buyer's language and signed with the name of the person handling the file. Automatic means the message is never forgotten, and a human still answers replies.
How many messages are too many?
Send one at each real change in the file, and none that only fills the gap. A message with no news irritates the buyer. Ask a few clients what they would like to hear and adjust.
Can we message buyers who did not ask for updates?
Only with the buyer's consent, and for the file in hand. Check the platform's current rules on business messages, and let the buyer stop messages whenever they wish.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
