Property documentation services · WhatsApp marketing

Make WhatsApp the place where the checklist goes out and the file updates come back.

WhatsApp marketing for a documentation office is the use of a business number to send checklists, collect documents and keep buyers informed, with their agreement. GullySales works on the setup, the templates and the rules for who replies.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For property documentation services

Where it usually goes wrong, and what we would do.

  • “The buyer sends photographs of papers to a personal number”

Documents arrive on a clerk's own phone, mixed with family messages. When the clerk leaves or changes phone, the files go too. A business number keeps papers in one place the office controls.

  • “The checklist is the first message that matters”

On the first call, the buyer wants a list of what to bring. A saved checklist sent on WhatsApp ends the call with something in hand and shows the office is organised.

  • “The NRI lives on the phone”

A buyer abroad prefers a message to a call across time zones. Photographs of signed pages, a note on the next step and a clear name of the person responsible all fit one thread.

  • “Broadcasts to brokers need care”

A message to every broker in the contact list looks like spam if it arrives without purpose. A short note for each referrer, sent when there is something useful, keeps the number trusted.

What we do

What we deliver for property documentation services.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A business number with a proper profile

A WhatsApp Business account with the office name, address, hours and a short description of what you handle.

Result: The buyer sees an office and not an unknown number.

  2. Saved replies and a checklist per case

Quick replies for purchase, inheritance, gift and NRI cases, ready to send in one tap.

Result: Every first call ends with a checklist sent.

  3. A rule for who owns the number

A named person responsible for replies, with a stated cover when that person is out.

Result: No message waits because the owner is away.

  4. A consent step for updates

A line in the first message asking the buyer to confirm that updates may be sent on this number.

Result: The buyer has agreed to the messages they get.

  5. A folder system for received documents

A way of saving documents to the file in the CRM or a folder, then clearing them from the phone.

Result: Papers are stored with the file and not on a handset.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Understand current WhatsApp use

We review how customers currently message you and how consistently, if at all, it is answered.

  2. 2

    Audit common questions

We identify the questions that come up repeatedly, which decide what should be automated first.

  3. 3

    Set up automation and templates

An automated first response and quick reply templates are built for the most common needs.

  4. 4

    Connect to the CRM

Conversations are linked to customer records so context carries over between team members.

  5. 5

    Measure and optimise

We track response time and conversion, refining automated responses based on what customers actually ask.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Do we need the API or is the business app enough?
The business app suits a small office with one or two people replying. The platform's API, through an approved provider, suits several staff and automated updates. Check the platform's current rules before choosing.
Can we send documents to the buyer on WhatsApp?
Yes, for a file the buyer has engaged you for. Take care with identity papers and share only what the buyer needs. Never send one client's papers to another number.
Should the broker group be a WhatsApp group?
A group exposes numbers to everyone in it, so ask each member first. Individual messages to each referrer are cleaner and keep the relationship personal.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
