Real estate legal consultants · Follow up systems

Answer the caller who went quiet, and the file a bank is waiting on.

A follow-up system for a real estate legal practice is the set of replies, reminders and check-ins that carry an enquiry from first call to engagement and a referrer from one file to the next. GullySales designs the sequence, the wording and the record, and you decide what is sent within your Bar Council rules.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For real estate legal consultants

Where it usually goes wrong, and what we would do.

  • “The buyer thinks it over and disappears”

After a consultation the buyer talks to the family, checks with the builder and goes quiet. A short, polite message that offers the next step, and nothing more, brings back the ones who were still deciding.

  • “Papers promised are papers waiting”

A caller says they will send the documents and does not. Without a note to ask, the matter drifts and a deadline passes unnoticed.

  • “Referrers need an answer, not a chase”

A bank or CA that sent a file wants to know it was received and what happens next. A short acknowledgement protects the relationship better than silence until the report is ready.

  • “Persistence has a limit for advocates”

Repeated messages to a person who has not engaged can read as solicitation. The system sets a stopping point for each type of enquiry, agreed with your Bar Council rules.

What we do

What we deliver for real estate legal consultants.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A reply route for every enquiry

Who answers a new enquiry, from which number, with which first message, written down so it works when you are in court.

Result: Each enquiry has a named person to reply.

  2. A papers reminder

A message sent to a caller who promised documents, listing what was asked for and the date.

Result: The caller knows exactly what is outstanding.

  3. A post-consultation message

A short note thanking the caller, repeating the next step and stating plainly that nothing further will be sent unless they reply.

Result: The caller has a clear, respectful close.

  4. A referrer acknowledgement

A note to the sender of a file confirming receipt and the next step.

Result: Referrers are told their file arrived.

  5. A stop rule for each stage

A point after which a quiet enquiry is closed with a final courteous message, and the reason is logged.

Result: No enquiry is chased without end.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Is following up with a prospect allowed for advocates?
Rules on solicitation are set by the Bar Council. Replying to a person who contacted you is different from approaching one who did not. Confirm the line with your own bar body before we write a sequence.
Should follow-up be automatic?
Replies that confirm receipt can be. A message about a person's property should be read by someone before it is sent. We keep automation to the plain acknowledgements.
What if a caller says no?
Record it, close the enquiry and send nothing more. A respectful close is better for the practice than a further message.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
