Luxury and premium brand retailers · Follow up systems

Write to the client who held the piece for a day and did not come back, with one question and no pressure.

A follow-up system for a premium retailer is a routine for what happens after the first visit or message: the piece held, the quote sent, the second visit planned and the purchase delivered. GullySales sets up the client record, the owners and the messages, in a tone that suits a premium store.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For luxury and premium brand retailers

Where it usually goes wrong, and what we would do.

  • “A piece is put on hold and forgotten”

A client asked to hold a bag for two days. The hold lapsed and nobody called.

  • “A big purchase takes weeks and no one follows up”

A client viewed three sofas and went home to talk to her husband, and the store never learned what she decided.

  • “After delivery, silence”

A watch is delivered and nobody asks if it is right, or mentions the first service.

What we do

What we deliver for luxury and premium brand retailers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A client record

A shared record with the client's name, number, pieces viewed, pieces held, sales person and next step.

Result: Every client has an owner and a next date.

  2. A routine for pieces on hold

A rule that a held piece is called about before the hold ends, with a polite message and a record of the answer.

Result: Holds are not left to lapse.

  3. Follow-up messages after a viewing

Written messages for the day after a viewing, in the language the client used, with a question and a way to book.

Result: A client who is thinking hears from you.

  4. After-sale checks

A message after delivery asking whether everything is right, and a reminder for service or care.

Result: Problems are caught and the relationship continues.

  5. A list of lapsed clients

A list of clients who have not visited for a long time, with a personal reminder from their salesperson.

Result: Past clients hear from you again.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for this trade

Each situation in a premium store needs its own follow-up, with an owner, a channel and a record.

Enquiry not yet answered
Reply the same day, by call or WhatsApp, by the salesperson best placed to help. Ask what the buyer is looking for and offer a private viewing. Record it.
Piece held
Call before the hold ends, and ask whether the buyer would like to extend, decide or release it. Record the answer. Do not hold a piece beyond what your policy allows.
Quote sent
Message after a day or two to ask whether the quote is clear, and offer to arrange a second viewing. Note the answer and the date to try again.
I will think about it
Ask what they are weighing and when they hope to decide. Do not discount to close. Set a date in the record and call then, in the tone of a friend, not a seller.
After delivery
Message the same week to ask whether the piece is right, and mention the first service or care visit. Ask for a review if the client is pleased.
Lapsed client
A personal note from the salesperson about a new arrival that suits what the client bought before. Send once, and leave it there if there is no reply.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the follow up systems work runs

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Will follow-up annoy a premium client?
A personal message that asks one clear question is a service. Repeated offers, or messages from a stranger, are not. Let the salesperson who knows the client write, and stop after a no.
Who owns the follow-up, the salesperson or the manager?
The salesperson, because the relationship is theirs, with the manager reviewing the record. If a salesperson leaves, the manager reassigns the clients and writes to each one.
Should we follow up on WhatsApp or by phone?
Use the channel the client used. For a high-value purchase, a call after the message works better. A client who prefers messages should not be phoned.
When do we stop?
After two polite attempts with no reply, mark the enquiry closed, note the reason if known and leave a seasonal invitation later. Then stop.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
