Who decides, and how the build is funded
Record the plot owner, the spouse or son who decides, and whether the money is a bank loan or own funds. A loan-funded job depends on the bank's sanction and its stage payments.
Approval position of the plan
Note whether the plan is sanctioned, the type of khata and any approval still pending with the local body. A plot that cannot start yet needs a different follow-up date.
What the estimate leaves out
Record the specification level and the exclusions: flooring, lift, borewell, compound wall, interiors. Disputes begin with the exclusions, so write them next to the figure.
Site visit notes and photographs
Attach the site condition, road access and photographs from the visit. Whoever prices the job later sees what the visitor saw.

We already use project management software on site. Is that not a CRM?
It starts at the signed contract. Everything before that, the enquiries, the site visits and the estimates that were never accepted, sits outside it. The enquiries you lost are the ones worth studying, and they never appear in project software.
