Turnkey construction companies · Follow up systems

Your estimate went out on Monday and the plot owner has four others.

Follow-up in turnkey construction is the chase between the site visit and the signed contract, a stretch that can run for months while an owner waits on a loan, a plan approval or his family. GullySales writes what gets said at each point, and when a file is closed with a reason.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For turnkey construction companies

Where it usually goes wrong, and what we would do.

  • “An estimate sent without a conversation is just a number to be beaten”

The owner is holding four rates per square foot and no way to tell what sits behind any of them. Ring and walk him through yours: what the specification covers, what it excludes, and what would change it. That call wins more contracts than a lower figure.

  • “Almost every owner is waiting on something, and it is not you”

The loan sanction, the khata transfer, the plan approval, a brother in Dubai who has not sent his share. Write down what the delay actually is and set your next contact to it. Otherwise a serious owner is marked cold six months before he was ever going to sign.

  • “Whoever stands on the plot first sets the number everybody else argues with”

A site visit request answered the same day lets you frame the rate, the timeline and the stages. Answer it on Thursday and you spend the rest of the conversation explaining why you are dearer than the man who went on Tuesday.

What we do

What we deliver for turnkey construction companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A same-day answer on every site visit request

A named person responsible for booking the plot visit the day the enquiry lands, with the visit date confirmed in writing to the owner.

Result: You are the first company standing on the plot.

  2. An estimate walkthrough call, not just an emailed PDF

A scheduled call after the estimate goes out, with a written list of what the rate includes and excludes, so the owner can compare like with like.

Result: Your number is understood instead of being read as the highest one.

  3. Next contact dated to the approval or the sanction

A field recording what the owner is waiting on and when it is expected, used to schedule the follow-up rather than a generic reminder.

Result: A long enquiry stays warm instead of being written off.

  4. A chase that reaches the whole decision group

Updates written so they can be forwarded to a spouse, a father or a sibling abroad, since the person you met rarely decides alone.

Result: Your case is made to the people who were not at the site.

  5. A stop rule with a recorded reason

The point at which an enquiry is closed, with the reason noted: rate, timeline, postponed, went to a labour contractor, or no plan approval.

Result: You learn whether you lose on rate or on the build programme.

  6. A separate rhythm for commercial enquiries

A follow-up sequence for a business building a showroom or a shed, which moves on a board approval and a rent-free period rather than a family decision.

Result: The commercial enquiry is worked on its own calendar.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for turnkey builders

Each plot visit, estimate and owner waiting on a loan has a caller and a note on what is holding things up.

Plot visit requested
Confirm the visit date in writing and bring a short checklist of survey number, soil, access and approvals. Record the owner's budget, family size and timeline.
Estimate sent, no reply
Ring and walk the owner through what the rate covers and excludes. Record which items he thinks are missing and the rate he has from others.
Owner waiting for a loan sanction
Ask which bank, the stage of the file and the documents pending. Offer a drawing set the bank can use and ring on the date they expect the letter.
Plan approval or khata pending
Ask who is handling it, which office has the file and what is missing. Record the date and offer help with the drawings if needed.
Family disagreement on design
Offer to meet the whole family with the plan and the elevation, then record which changes were asked for. Update the estimate in writing.
Owner says next year
Ask what he is waiting for and note the date. Send a note when something relevant changes, and close the file if he asks to stop.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for turnkey construction companies

  1. 1

Audit the enquiry and estimate process

We check how fast a site visit or estimate request is answered today, how completed projects are shown, and whether past clients are asked for referrals.

  2. 2

    Show real projects, not renders

Photographs and short walkthroughs of actual completed and ongoing projects, replacing stock imagery that plot owners no longer trust.

  3. 3

Speed up the site visit and estimate

A same-day response routine for enquiries, with a clear process for scheduling a site visit and delivering a written estimate.

  4. 4

Build visibility by city and build type

Search and content built around the city and construction type owners actually search for, such as villa construction or turnkey homes.

  5. 5

    Turn clients into referrals

A structured ask for a referral once a project completes well, since a plot owner's network is the highest-trust source of new enquiries.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

The owner said he will build next year. Do we keep following up?
Yes, but on his calendar. Record what he is waiting on and contact him when that changes, not every fortnight. A plot owner who hears from you when his plan approval is due remembers you. One who hears from you weekly stops answering.
How do we follow up without cutting our rate?
Move the conversation off the rate. Walk him through the specification, the stage payments and a completed house he can visit. An owner who cannot see what sits behind two numbers will always take the smaller one.
Should we keep a file open for an owner who says he will build later?
Yes, with a reason and a date, for example a loan or plan approval. Note it, ring around that point and close the file if nothing moves after a second call. Do not keep sending offers; an honest closure is better than a stale lead.
What do we say when another builder has quoted a lower rate?
Ask to compare the specifications line by line: cement brand, steel, flooring, electrical, plumbing and exclusions. Send a table of the differences. If the lower rate omits items, say so politely and let the owner decide.
How do you handle showing project photos without client permission issues?
We agree with each client upfront on what can be shown publicly, and only use photographs the client has approved.
Do you help with the actual construction or only the marketing?
Only the marketing and sales process. The design, estimation and construction remain entirely your team's responsibility.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
