Aesthetic, hair and cosmetic clinics · Reputation management

One angry review about a result is read by every patient comparing you.

Reputation management for an aesthetic clinic is watching and answering what patients say in public about a result they paid for from savings. GullySales monitors the reviews and forum threads, drafts replies that never confirm who was a patient, and reports what keeps coming back.

A statue plinth seen close: the bronze figure implied only by its feet and the hem of its drapery above the top of the frame, one face of the stone pedestal scrubbed pale and the other still grimy and carrying a scrawl of paint, with a pressure hose coiled on the steps beside a bucket, brushes and cloths

What reputation management means

Reputation management is watching what is said about your business across Google, social media and review sites, and responding to it before it changes a buyer's mind. GullySales monitors mentions, drafts responses to negative reviews and flags recurring complaints back to your team.

For aesthetic, hair and cosmetic clinics

Where it usually goes wrong, and what we would do.

  • Replying to a review can itself be the complaint

Naming a treatment or a date in a public answer confirms that person was your patient. Confidentiality and your doctor's registration both sit behind that reply, so it is drafted and approved before posting.

  • Transplant results are argued on forums, not on Google

Men compare graft counts and photographs in long threads months after surgery. Your clinic is discussed there whether or not anybody from it is reading.

  • The unfinished package becomes the review

A patient who bought six laser sittings, missed two and saw half a result writes about the money. Chasing that missed sitting is reputation work before it is service work.

What we do

What we deliver for aesthetic, hair and cosmetic clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Alerts on the clinic, the doctors and each branch

Watches on search, Google reviews, Practo, JustDial and the forums where hair and skin results get picked apart, so you read it before a patient quotes it.

Result: You hear about it in hours rather than in a consultation.

  2. Reply templates cleared for confidentiality

Answers to the recurring complaints about cost, pain, downtime and results, written so they never confirm treatment details, and approved by your doctor once.

Result: A bad review gets a same-day reply that costs nobody their registration.

  3. A review request timed to the result, not the bill

The ask goes out when the patient can see the change, which for a transplant is months after surgery rather than on the day they pay.

Result: Reviews describe the outcome instead of the reception desk.

  4. Package and follow-up gaps closed

Missed sittings chased, maintenance sittings offered and abandoned courses restarted, because a good share of result complaints begin as an unfinished package.

Result: Fewer patients reach the review stage feeling short-changed.

  5. A monthly summary of what was said

Every mention found, what was replied, and the complaint that came back three times this quarter, set against the baseline from the audit.

Result: The same problem stops arriving every month.

How the result is measured

  • Average rating
  • Response time to reviews
  • Negative mentions resolved

Recorded as a baseline before work starts, then reported every month against it.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first monthly report.

No open-ended retainer. Each step has a point in time and something you receive.

  1. 01 · Day 1

    Free audit call

45 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · Within a few working days

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope and fee come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later month has an honest comparison.

  4. 04 · Month 1

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · Every month

    Report against the baseline

What moved, what did not, and what changes next, in plain words.

  6. 06 · Month 3 to 6

    Renew on the numbers

The term ends and you decide whether to continue from the results. No twelve-month lock.

How the work runs for aesthetic, hair and cosmetic clinics

  1. 1

    Count the funnel

From last quarter's leads, consultations, signed plans and completed packages, we record where patients are lost and which treatments carry the revenue.

  2. 2

    Check the claims

Pages, ads, before-and-after posts and offers are reviewed against the rules for doctors and dentists, and anything that promises an outcome is rewritten.

  3. 3

    Fix the consultation

Counsellors get the first-call script, the written treatment plan format, the EMI explainer and a follow-up schedule for patients still deciding.

  4. 4

    Bring in the right patients

Treatment pages, search campaigns and lead forms are aimed at the treatments with the best margin and free doctor time, with fewer free-consultation offers.

  5. 5

    Finish the package, then ask

Session reminders, missed-session calls and a review or referral request once the patient can see their own result.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every monthly report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No lock-in, no guarantees we cannot keep

Three to six months at a time. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

A patient is unhappy with the result and has posted photographs. What do we do?
Move it off the thread quickly. A short public line offering to review the case, with no clinical detail and no denial, then a call from the doctor who treated them. Arguing about the outcome where every future patient can read it is the worst option available.
Can we ask patients for reviews?
You can ask, and the wording matters. Asking for an honest review is not the same as offering a discount for a good one. Incentives run into both platform rules and the restrictions your doctors are registered under. Your council or adviser settles that line.
Can an aesthetic clinic show before-and-after photos?
With care. The National Medical Commission (NMC) rules for doctors and the Dental Council code for dentists restrict advertising that promises results or solicits patients. Each photo needs written patient consent, honest context such as the number of sessions, and no wording that suggests the same result for everyone. We check each one with your doctor before it is used.
Should we offer free consultations to get more leads?
Usually not as the headline. Free consultations fill the diary with people who were curious, not decided. A modest fee adjusted against treatment, or a clearly stated price basis, brings fewer and far better leads.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
Three to six months at a time. There is no twelve-month lock, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile usually show in weeks, because the enquiries already exist. Ads show in days once follow-up is ready. SEO and content take months. The audit tells you which applies to you.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 45 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the monthly review.
