Truck, trailer and commercial vehicle dealers · CRM

Keep one record for each buyer, from the first call to the third vehicle.

A CRM for a commercial vehicle dealer is the register where every buyer, vehicle enquiry, quotation, finance file and service visit is recorded in one place. GullySales sets up the fields, the stages and the follow-up reminders, and trains the sales and service desks to use them.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

For truck, trailer and commercial vehicle dealers

Where it usually goes wrong, and what we would do.

  • “The sale, the loan and the service sit in three books”

Sales has a register, the finance desk has a file and the workshop has job cards, and no one can see that a service customer asked for a quote last week.

  • “The salesman knows, the dealership does not”

A fleet owner's history lives in the memory of one salesman, so when he leaves, the buyer has to start again with a stranger.

  • “Follow-ups depend on who remembers”

A quotation was sent, the buyer said he would decide after the harvest, and nobody wrote the date on which to call him back.

What we do

What we deliver for truck, trailer and commercial vehicle dealers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A buyer record that spans sales, finance and service

Name, company, mobile number, fleet size, vehicles owned, vehicles asked about, finance status and the last service visit.

Result: Any staff member can see the whole relationship in one place.

  2. Stages that match how a truck is sold

Enquiry, vehicle shortlisted, quotation sent, finance in progress, booking, delivery, first service, each with a named owner.

Result: You can see exactly where each buyer is stuck.

  3. A follow-up date on every open record

No record is left without a next action and a date, and a short daily list shows what is due for each salesman.

Result: The salesman starts the day with a list, not a memory.

  4. A used stock link

Each used vehicle in the yard is linked to the enquiries that asked about it, so a new arrival can be offered to the right buyers.

Result: A vehicle that arrives is offered at once to the buyers who asked.

  5. Reports your sales head will read

Enquiries by source, quotations sent, bookings and registrations by salesman, kept on a single page.

Result: The weekly meeting is about buyers, not about opinions.

  6. Training and a clear owner

A short session for sales, finance and the service desk, and one person at the dealership responsible for the quality of the data.

Result: The register is used because someone checks it.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to record, and when

What to write down for every truck enquiry, so the next call is easy and the reports are true.

Who he is and how he pays
Name, company, mobile, district, number of vehicles he runs, and whether he plans to pay in cash, finance or exchange. Fill this in at the first call, not after the visit.
The vehicle and the use
Make, model or body type, the load carried and the route. A buyer who says tipper for sand has different needs from one who wants a tipper for a quarry, and the quote should reflect it.
The source, in the buyer's words
Google, classified site, YouTube, a referral, a hoarding or a walk-in. Ask once, write it down, and do not leave it to be guessed later.
The quotation and the date it was sent
Attach the quote, the price, the validity and any exchange value offered for the old vehicle. A follow-up call with the wrong quote in mind loses trust.
Finance papers and who has them
List what is received and what is pending, and the lender's contact. The buyer should know the list too, in a message he can read in his own language.
The next action and its date
Never close a record with a blank next step. If the buyer said he will decide after the season, write the date and call him then.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the CRM work runs

  1. 1

    Map the sales process

We record how a deal actually moves from enquiry to close in your business today.

  2. 2

    Configure stages and fields

The CRM's pipeline and fields are built to match that process exactly, not a generic template.

  3. 3

    Set up automations

Reminders, assignment rules and follow-up triggers are configured so routine steps happen without manual effort.

  4. 4

    Test with real deals

We run the configuration against actual current deals to catch gaps before the whole team relies on it.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Is a spreadsheet enough for a commercial vehicle dealer?
For a small team, a well-kept shared sheet is a fair start. Move to a CRM when more than three people update it, when follow-ups are being missed, or when you want reminders and reports without building them yourself.
What do we do when salesmen do not update the CRM?
Make the register the only place a follow-up is recognised: the sales head reviews calls from it and nothing counts as pending unless it is in the register. Keep the fields to the few that are used.
Can WhatsApp chats go into the CRM?
The key facts can: the vehicle, the quote, the date for the next call. Copy those into the record at the end of the chat. Some tools link WhatsApp directly, which is worth considering once the habit is built.
Who owns the data if we change the software?
You do, provided the contract says so and you can export every record in a plain file. Check this before you sign, and keep a copy of the register outside the tool.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
