What to record, and when
What a bakery should record about every cake order, and whether it needs software yet.
- Delivery or pickup date and time
- Make the date the first field, and show it as a list sorted by date. A missed date is the one mistake a bakery cannot repair, so the counter should see tomorrow's orders without hunting.
- Flavour, weight, eggless or not
- Record flavour, weight, shape and whether the cake is eggless in separate fields, not one long note. The kitchen reads these early in the morning and should not have to scroll a chat.
- Message on the cake and the photo reference
- Keep the exact wording and the reference photo with the order. Spelling a name wrong on a birthday cake is the complaint you hear about for years, so copy the text as the customer typed it.
- Advance paid and balance due
- Write the advance amount, how it was paid and the balance to collect on delivery. An order with no advance recorded is an enquiry, not a booking, and the kitchen should not treat it as one.
- Occasion and the next one
- Note whether it was a birthday, anniversary or festival, and for whom. A birthday remembered a year later is a reason to message that customer, if they have agreed to hear from you.
- Do you need software yet?
- A sheet or a simple shared table is enough while one person takes every order. Think about software when two outlets or a delivery rider need the same list, or when WhatsApp orders arrive faster than anyone copies them.
