A cake order runs from a date on the calendar to a collection slot, and the buyer needs something different at each step.

A date is fixed
A birthday, anniversary or festival sets the clock. Post the notice you need for each type of cake and the last pre-order day before Diwali, Christmas and Valentine's Day.
Scrolls photographs
They search your Instagram and Maps photos for a design near what they imagine. Keep recent photographs of finished cakes with the flavour and weight written under each.
Messages on WhatsApp
The first message is usually a screenshot and a question about price. Pin a reply asking the date, weight, flavour, eggless or not, message on the cake and pickup or delivery.
Gets the quote
The price should arrive with every assumption written out. Name the flavour, the weight, the text on the cake and the delivery charge, so nothing is argued at the counter.
Pays the advance

Yes, and all of it is sitting in your chat history. Scroll back through thirty enquiries and you will see the same five steps and the same two places people stop replying. We read those chats with you and write the steps down.
Does the walk-in customer need mapping too?
Less of one. A counter sale is decided at the display case and the price card, so the work there is the shelf rather than a journey. Put the effort into the pre-order, where the margin and the repeat family are.
Who else is involved when someone orders a cake?
The person paying is often not the person choosing. A child picks the design, a parent pays, or an office team splits the cost. Ask who the cake is for and who will collect it, and send the confirmation to both people if they are different.
Someone sent a photo, got the price and went quiet. What can we do?
Send one reply asking whether the date is still open, since your pre-order slots for that day fill up. Many buyers are comparing two bakeries or waiting for family to agree. Keep the photo and the date in the order book so a later message is easy to answer.
