Coaching centres and tutors · Email marketing

Use email where it earns its place: fees, documents and study abroad.

Email marketing for a coaching centre is narrower than most channels, covering fee instalments, batch notices and the document-heavy conversation a study abroad counsellor has with a family. GullySales sets up the few messages worth sending, leaves the rest to WhatsApp, and keeps every family's details in one record.

A post room: a wall rack of pigeonholes with sorted letters and strapped bundles, a loaded mail trolley wheeled up in front of it, and on the bench a franking machine with one envelope under the press arm, franked and cleared

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

For coaching centres and tutors

Where it usually goes wrong, and what we would do.

  • Indian parents read WhatsApp, not inboxes

A fee reminder by email is read days late, if at all. Say it plainly and stop buying tools that assume otherwise.

  • Study abroad is the real exception

Offer letters, document checklists, intake deadlines and fee transfers need a thread a family can search six months later. That is email doing something nothing else does.

  • Money conversations belong in writing

An instalment plan, a concession and a receipt sent by email settle the argument that starts at the desk in month four.

What we do

What we deliver for coaching centres and tutors.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. The fee instalment reminder

A plain note before each due date showing what was agreed, what is paid and what is next, sent to the parent who signed the form.

Result: Collections stop depending on a counsellor's memory.

  2. A batch notice for enrolled families

Timetable changes, test dates, holidays and parent-teacher meetings sent as a short note with the dates at the top.

Result: Parents stop ringing the office to ask what is happening.

  3. A study abroad intake sequence

Document checklist, deadline reminders and next steps for each intake, sent as a thread the family can find again.

Result: Applications stop stalling on a missing paper.

  4. A note to past families at results time

A short message to families whose children finished with you, timed to when younger siblings and cousins are choosing.

Result: Referrals arrive on purpose rather than by luck.

  5. One record holding number, address and consent

Each family's phone, email and what they agreed to receive, in the same place as the admission and fee record.

Result: You can reach a family without hunting through chats.

  6. Replies read next to admissions

Who opened, who replied and who booked, reported monthly against the baseline agreed in the audit.

Result: The messages that nobody answers get dropped.

How the result is measured

  • Open rate
  • Click rate
  • Enquiries from email

Recorded as a baseline before work starts, then reported every month against it.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first monthly report.

No open-ended retainer. Each step has a point in time and something you receive.

  1. 01 · Day 1

    Free audit call

45 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · Within a few working days

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope and fee come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later month has an honest comparison.

  4. 04 · Month 1

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · Every month

    Report against the baseline

What moved, what did not, and what changes next, in plain words.

  6. 06 · Month 3 to 6

    Renew on the numbers

The term ends and you decide whether to continue from the results. No twelve-month lock.

How the work runs for coaching centres and tutors

  1. 1

    Assess

We look at how enquiries arrive in admission season, how fast they are answered, how many demo attendees join, and how your centre shows up for each course search.

  2. 2

    Fix the admission reply

A routine and a named counsellor for every enquiry, with quick replies ready for the post-results rush.

  3. 3

    Build course pages and proof

A page per course and exam, teacher profiles, lesson clips and consented reviews, kept within the current rules on coaching advertisements.

  4. 4

    Bring students in

Local search, admission season ads, scholarship tests, school seminars and referrals from past families.

  5. 5

    Convert and keep them

Demo and counselling follow-up, fee instalment reminders, and attendance flags that trigger a parent call before a student drops out.

Proof

What happened when owners fixed this.

Real clients, the work we did, and the result as it was recorded. Where no number was recorded, none is claimed.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every monthly report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No lock-in, no guarantees we cannot keep

Three to six months at a time. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Should we run a newsletter for parents?
For a tuition centre, no. Parents want dates, fees and their own child's progress, and a monthly bulletin about the institute goes unread. A study abroad practice is the exception, where families genuinely follow intake news.
How do we reach past families when a sibling is ready?
Keep the record, note the younger child's class at admission, and reach out at results time. Send it on WhatsApp with an email behind it for the fee details. A family that trusted you once rarely shops around.
Can we still use topper results in our advertising?
Carefully. The Ministry of Education's coaching guidelines and consumer protection authorities both act against misleading rank and selection claims. Any result you show must be real, checkable and used with the student's consent. We lean on teaching proof and check the current rules with you before a campaign goes live.
How do we compete with the national coaching brands?
On things they cannot offer: smaller batches, a teacher the parent can meet, and a centre close to home. We make those visible in local search and in the demo class follow-up, rather than trying to outspend them on ads.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
Three to six months at a time. There is no twelve-month lock, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 45 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the monthly review.
What if we are not happy with the work?
Tell us and the plan changes. Every month is reported against the baseline, so a number that is not moving is visible to both sides. Terms run three to six months at a time, and the refund and cancellation policy sets out the rest.
