Fleet operators · Logistics

Become the vendor the admin head keeps when the contract comes up for review.

It is ten to seven in the morning in an IT park on Outer Ring Road. A transport coordinator has a lobby full of people and one cab that has not arrived, and the operator's phone is ringing out. By evening she has pulled out the visiting cards of two other operators from her drawer, and neither of them is on the panel yet.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

In one paragraph

Fleet operator marketing is how a business that runs cabs, buses and tempo travellers on hire gets found by the companies, schools and families that book them, and kept after the first contract. Sales turns a rate request into a signed route or a booked date. GullySales builds your vendor pack, tracks every quote and renewal, and puts your vehicles in front of the people who decide.

Most fleet operators grow on one admin head's goodwill and the owner's own phone. The first contract is won by a relative or a friend who works in the company. The second is harder, because nobody has written down what the first one needed, and the vehicles that sit idle between shifts, school terms and wedding dates are paid for either way.

How buyers decide

How fleet operators are chosen.

A company buys staff transport through its admin, facilities or HR head, with procurement checking the rate. They ask for the registration, permit, fitness and insurance papers of every vehicle, driver licences and police verification, and the GPS or tracking set-up. A route is given on trial first. Empanelment follows once the vehicles have turned up on time for a while. Many companies keep two operators on the panel so that one failure does not stop a shift.

Schools and colleges choose through the trustees or principal, who listen to parents. The contract runs by academic year. One incident, or one bus that was late for a term, is enough to drop an operator. Tour groups, wedding families and pilgrimage organisers search on their phones for a tempo traveller or coach near them. They look at photographs of the actual vehicle and message the two or three that answer first. Travel agents and event planners keep a short list of fleets they trust and call it before they search.

The trigger is rarely an advert. A new office opens, a shift is added, the old operator fails once too often, the academic year starts, or a wedding date is fixed. The operator who has the papers ready and a rate sent in one message gets the first trial.

The problem

What usually goes wrong for fleet operators.

What owners tell us on the first call, in their words.

  • “Our rate was set to beat the last operator”

We quoted below what the route costs us to run, won the contract, and found in the first month that the diesel, driver and idle time were not covered.

  • “The contract comes up for review and we hear last”

A company re-tenders its transport, asks three operators for rates, and we learn of it from the driver, after the admin head has already chosen.

  • “Our vehicles stand idle outside the peak”

Tempo travellers wait through the monsoon, school buses through the holidays, and employee cabs between the morning and evening shifts.

  • “Every client asks for the same papers and we hunt for them each time”

Registration, permit, fitness, insurance and driver details sit in the owner's cupboard and three phones, so each vendor form takes days.

  • “Enquiries reach the driver's phone and nobody writes them down”

A wedding family messages the driver, a travel agent calls the owner, and the date is double booked or lost.

  • “To a company we are one name on a list of ten”

Our punctuality and clean record are known only to the people who ride with us, and the person choosing the panel compares rates.

What we do

What we do for fleet operators.

Everything included for fleet operators, and the result each part is there to produce.

  1. A vendor pack that answers a procurement form in one sitting

Company registration, GST, a fleet list with registration, permit, fitness and insurance dates, driver details, tracking set-up and client references with consent, kept in one folder and one PDF.

Result: A vendor form is answered when it arrives, not after a week of searching cupboards.

  2. Pages for the buyer's search, by segment and place

Separate pages for employee transport in your IT park or industrial belt, school bus service, tempo traveller on rent by city and route, and monthly car rental for companies.

Result: An admin head or a wedding family finds a page written for their situation.

  3. Google Business Profile for the yard and the office

A profile with the right category, service areas, vehicle photographs, call hours and a review link given to every client coordinator.

Result: People searching nearby see real vehicles and a number that gets answered.

  4. A rate sheet built from your cost per kilometre

Per-vehicle monthly rates, per-trip rates and one-day or outstation rates worked from your own running costs, with what is included and what is charged extra written beside each.

Result: You quote what the route costs to run, and the client sees what the quote covers.

  5. An enquiry and quote register

Every RFQ, WhatsApp request and call logged with the buyer's role, route, dates, vehicle type, quote sent, the operator you were compared with and the follow-up date.

Result: No date is double booked and no quote goes unanswered.

  6. A contract and renewal calendar

Each running contract with its start, review date, contact, vehicles allotted and the points raised in the last review.

Result: You are in the room before the client opens the rates to others.

  7. Reporting on enquiries and contracts

Enquiries by source and segment, quotes sent and won, contracts running and renewals kept, reported against the baseline recorded before work starts. How often it reaches you is agreed in writing after the audit.

Result: You can tell which segment is paying for the vehicles you bought.

How the result is measured

  • Enquiries by source and segment
  • Quotes sent against contracts and bookings won
  • Reply time on a rate request
  • Contracts running and renewals kept
  • Share of revenue from the largest two clients
  • Vehicle-days booked against idle

Recorded as a baseline before work starts, so every later report has an honest comparison.

Worth a page and a campaign of their own

Employee transport for offices and IT parks on monthly contracts · Shift transport for factories and industrial estates · School and college bus contracts by academic year · Tempo traveller bookings for weddings, tours and pilgrimages · Corporate airport transfer rate agreements · Executive cars on monthly rental for companies · Offsite, conference and event shuttles · Dedicated vehicles for a delivery contract · Spare capacity supplied to larger operators and travel agents

Priority campaigns

Campaigns for what fleet operators most want to sell.

Each one planned around when your buyers decide, and measured against the baseline.

  • New office and new shift campaign

Outreach to facility heads in tech parks and industrial estates where companies are taking space or adding shifts, with the vendor pack and an offer of a trial route.

Result: You are asked for the trial before the old operator is blamed.

  • Academic year school bus campaign

A note and a documents file for trustees and principals, sent before the term and the new admissions, with route coverage and safety papers on the first page.

Result: Schools compare you before the contract is renewed.

  • Wedding and pilgrimage season campaign

Pages, Maps photographs and a WhatsApp quote for group vehicles, aimed at families, wedding planners and temple tour organisers ahead of the dates.

Result: Your tempo travellers are booked before the season, not after the dates are fixed.

  • Travel agent and event planner list

A list of agents, destination management companies and event planners in your city, each with a rate card, vehicle photographs and a standing quote format.

Result: They call your fleet first when a group needs a vehicle.

  • Panel review campaign

A visit and an on-time record for each client before their transport contract is reviewed, with the complaints raised and what was done about them.

Result: The review begins with your record in front of the admin head.

Beyond search

Where we reach buyers of fleet operators, beyond Google.

Search matters, but it is rarely the only way this industry's buyers find a supplier.

  • Facility and admin heads in IT parks and industrial estates

We list the companies on your routes, find the person who signs transport, and prepare the introduction and the vendor pack.

  • School trustees and college transport in-charges

A short pack for management and parent committees, with your safety papers and route list, ready before the academic year.

  • Travel agents, tour companies and event planners

A rate card, vehicle photographs and a quote format they can forward to their own clients without editing.

  • Wedding planners and banquet venues

Vehicle options for guest pick-ups, with a contact who answers on the evening before.

  • Other operators with overflow work

A standing arrangement with larger fleets and aggregators, so your spare vehicles take their peak-day overflow.

  • School and college bus contractors
  • Tempo traveller and mini-bus operators for tours, weddings and pilgrimages

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for fleet operators

  1. 1

    Assess

A free audit of where your contracts and bookings came from, how quotes are tracked, how much fleet stands idle and which clients carry most of the revenue.

  2. 2

Get the papers and the rates ready

The vendor pack, a rate sheet worked from your running cost and a clear line on what each quote includes.

  3. 3

Be found for the right search

Pages by segment and place, Google Business Profile and listings, and the lists of facility heads, schools and agents worth calling.

  4. 4

    Quote, follow up and trial

A register for every RFQ and WhatsApp request, a follow-up date on every quote and a route trial handled as a sales step.

  5. 5

    Keep and renew

A contract calendar, an on-time record shown to the client before every review, and calls to travel agents who send you repeat groups.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions fleet operators ask before they call.

Not here? More answers, or ask on WhatsApp.

Two companies give us most of our work. Is marketing really for us?
Yes, because that is the risk. If one cuts its routes your income drops at once. The first job is a list of the companies in your belt who could be a third and fourth client, and a vendor pack that is ready when one of them asks.
Should we register on cab aggregator platforms?
Use them to fill idle vehicles, not as your main source. They bring the booking but keep the customer, and their rates are set by them. Your own contracts and direct enquiries should carry the fleet, with the platform taking the gaps.
Which papers should be ready for a company's vendor panel?
Company registration, GST, the registration, permit, fitness and insurance papers of each vehicle, driver licences and verification, and tracking details. Rules and permits differ by state, so check with your own RTO or transport adviser before you list any.
Do we need our own app?
Not at the start. A WhatsApp number, a booking register and a Business Profile bring more than an app nobody installs. If a client later asks for trip tracking or rosters, buy or rent routing software for that contract and pass its link on.
A client wants a trial route at their rate. Should we say yes?
Say yes only after you have worked out your cost for that route, including the empty run back. Write down what the trial covers and when the rate is reviewed. A trial at a loss is paid for by a contract you may not win.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
