Fleet operators · WhatsApp marketing

Keep the pick-up details in WhatsApp and the offers out of the staff roster.

WhatsApp for a fleet operator carries the quote, the vehicle photographs, the trip confirmation and the driver's details, and it is also where a passenger roster can be misused if marketing messages are sent to it. GullySales sets up a business number, the quote and confirmation messages, and the opt-in for people who agreed to hear from you.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily, which gets read faster than email or SMS. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For fleet operators

Where it usually goes wrong, and what we would do.

  • “The roster numbers belong to the client, not to you”

A company gives you its employees' phone numbers so the cab can find them. Sending them an offer for a weekend tempo traveller is misuse, and the admin head will hear about it.

  • “Quotes live in the owner's personal chats”

A rate is typed as a voice note, a driver forwards a photograph of the wrong vehicle, and the group size is changed three times. Nobody can find what was agreed when the family disputes the bill.

  • “Drivers are the face of the number”

A driver's personal WhatsApp is often the buyer's first contact. When he leaves, the customers and the thread go with him.

What we do

What we deliver for fleet operators.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A business number with a profile that reads like an operator

A WhatsApp Business number on the website, Maps profile and vehicles, with a greeting, an away message for the night and labels for company, agent, family and school.

Result: Every enquiry reaches one number the whole office can answer.

  2. A catalogue of your vehicles

Each vehicle type with photographs, seats, air conditioning and a line on what a day package includes, ready to send in a single reply.

Result: A quote request is answered with pictures instead of a paragraph.

  3. A quote message that lists what is included

A standard layout with the route, date, vehicle, kilometre or hour limit, toll and parking treatment, driver allowance and night charges, worded so the buyer cannot read a different deal.

Result: A disagreement over the bill can be settled by reading the chat.

  4. Trip confirmation and driver details messages

A confirmation with pick-up time and point, the vehicle registration and the driver's name and number, sent to the person who booked and, where the client allows, the traveller.

Result: The passenger knows who is coming and the booker stops ringing dispatch.

  5. A consent record and a separate list for offers

A tick on the booking form or a message asking permission, entered against the contact, so offers go only to families and agents who said yes.

Result: Your broadcasts reach people who agreed to hear from you.

  6. Rules for drivers' phones

A short written rule on forwarding leads to dispatch within the hour, no personal-number quotes and handing over the chats when someone leaves.

Result: The contacts stay with the business when a driver moves on.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

Settle these before the number goes on a vehicle or a client's roster.

Opt-in for individuals, kept apart from the client's roster
Keep a list of families and agents who said yes to messages, with the date and how they said it. Never add employee numbers from a client roster to it.
A business profile with the office hours that are true
State the hours the dispatcher answers and give the night number if one exists. A family at midnight who reads 'closed' goes to the next operator.
Templates for trip confirmation and pick-up alerts
Prepare approved templates for a confirmed booking and a delay. Check WhatsApp's current business policy and pricing for who pays when a message starts a conversation.
A written opt-out
Tell people how to stop offers, and honour it in the register the same day. Do not message a stopped number again.
A human reply path
Name who reads the chat in the morning shift, the night and on Sundays. An automatic greeting with no person behind it is worse than none.
What stays off the chat
Keep passengers' addresses, ID details and incident descriptions off groups and out of forwards. Write the pick-up list in your booking record, not in a chat anyone can screenshot.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for fleet operators

  1. 1

    Assess

A free audit of where your contracts and bookings came from, how quotes are tracked, how much fleet stands idle and which clients carry most of the revenue.

  2. 2

Get the papers and the rates ready

The vendor pack, a rate sheet worked from your running cost and a clear line on what each quote includes.

  3. 3

Be found for the right search

Pages by segment and place, Google Business Profile and listings, and the lists of facility heads, schools and agents worth calling.

  4. 4

    Quote, follow up and trial

A register for every RFQ and WhatsApp request, a follow-up date on every quote and a route trial handled as a sales step.

  5. 5

    Keep and renew

A contract calendar, an on-time record shown to the client before every review, and calls to travel agents who send you repeat groups.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we message the employees we carry on a contract?
For the trip, yes: pick-up time, driver details and delays. For offers on weekend travel, no, unless the individual has agreed separately. The numbers were given for the service, so do not repurpose them without the client's and the employee's agreement.
Do we need the WhatsApp Business API or is the app enough?
One office taking quotes and confirmations manages with the Business app. The API earns its place when trip alerts must go out automatically from a booking system. Check WhatsApp's current business policy and pricing before you plan on it.
Should we run a WhatsApp group with each client's coordinators?
A group for the day's operations with the transport coordinator and your dispatcher works well. Keep it to trip messages, and agree who answers at night. Keep rates, contract points and complaints out of it and in written mail.
Our drivers use their own numbers. Is that a problem?
It is a business risk more than a rule. When a driver leaves, the regulars and their history go with him. Give drivers a message to pass the lead to dispatch and keep the quote itself on the business number.
Two companies give us most of our work. Is marketing really for us?
Yes, because that is the risk. If one cuts its routes your income drops at once. The first job is a list of the companies in your belt who could be a third and fourth client, and a vendor pack that is ready when one of them asks.
Should we register on cab aggregator platforms?
Use them to fill idle vehicles, not as your main source. They bring the booking but keep the customer, and their rates are set by them. Your own contracts and direct enquiries should carry the fleet, with the platform taking the gaps.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
