Steps of a sale

Six steps from the first call to the first morning, in the words a transport office uses.

Enquiry
Log the source, contact and role on the register. Reply the same day with two questions on route and dates, and the vendor pack if it is a company.
Qualify
Ask the headcount, shifts, zones, current operator and who signs. A buyer who cannot say who signs is still collecting prices; note that and continue.
Survey and quote
Drive or map the route, count the empty run back and work the cost per vehicle. Send one written quote that lists what is included and what is extra.
Trial and follow-up
Agree the trial in writing with a review date. Follow up after the first morning and again before the review, and record what the client said.
Close and empanelment
Fill the client's vendor forms, send the papers and agree payment terms. Get the contract or purchase order in writing before the vehicles are added.
Handover to dispatch
Pass the route, the roster, the standby and the coordinator's number to the person who will run it. Call the client after the first week and write down their remarks.

Who in our office should do which step?
Dispatch takes the enquiry and the first questions. The owner or a senior person runs the survey, the quote and the review meeting, because that is where the rate and relationship sit. Handover goes to whoever will run the account day to day.
When should we quote a rate?
After you know the route, shifts, headcount and who decides. A rate given on the first call is a guess, and it sticks. Say you will send it in writing once the survey is done, and give the buyer a date.
What do we do with a buyer who only wants the per-kilometre rate?
Send the rate together with what it covers and what is extra. Ask what happened with the last operator. A buyer who has been burned by a missed shift will listen to your record, and one who will not is better served by the cheapest.
Is it worth adding a step for a reserve vehicle?
Yes, if the client runs shifts. A named standby and a time by which it reaches the gate is what a facility head asks about after a breakdown. Add it to the quote only if you can really provide it.
Two companies give us most of our work. Is marketing really for us?
Yes, because that is the risk. If one cuts its routes your income drops at once. The first job is a list of the companies in your belt who could be a third and fourth client, and a vendor pack that is ready when one of them asks.
Should we register on cab aggregator platforms?
Use them to fill idle vehicles, not as your main source. They bring the booking but keep the customer, and their rates are set by them. Your own contracts and direct enquiries should carry the fleet, with the platform taking the gaps.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
