Fleet operators · Referral marketing

Let the coordinator who trusts your drivers introduce you to the next office.

Referral marketing for a fleet operator is making it easy for a facility head, a school principal or a travel agent to say your name to the next person who needs vehicles. Most work in this trade is already passed along by word of mouth, but nobody writes it down. GullySales records the source and makes the introduction easy.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What referral marketing means

Referral marketing is asking an existing customer to recommend you to someone they know, usually with a reward for both sides. It differs from a loyalty scheme because it brings in a new customer rather than a repeat purchase. GullySales builds the ask and the reward into a point where a customer is already satisfied.

For fleet operators

Where it usually goes wrong, and what we would do.

  • “A facility head changes companies and nobody follows her”

She trusted your drivers and takes that to her new office. Unless you know where she went, the introduction never happens.

  • “A thank-you to a client's staff can breach their rules”

Many companies forbid employees from accepting gifts or commissions from vendors. A reward meant as thanks can end the contract and your place on the panel.

  • “Travel agents and planners refer only the operators they never worry about”

They pass on a group once, watch whether the vehicle was on time and clean, and then decide whether to use you again.

What we do

What we deliver for fleet operators.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A list of people who send you work

Coordinators, trustees, travel agents, wedding planners, hotel desks and other operators, each with the work they sent and the date.

Result: You know who your best sources are.

  2. A one-page introduction note

A short note a coordinator can forward to a colleague or a friend at another company, with your fleet, areas served and one contact name.

Result: An introduction takes one forward, not a conversation.

  3. A source field on every enquiry

Who sent the buyer, filled in at the first call and checked at the contract, so you see which introductions became contracts.

Result: You can tell which relationships are worth another visit.

  4. A thank-you routine that fits each source

A call or a card for coordinators, a standing rate card and priority for agents, and a seasonal gesture for planners, set to each one's own rules.

Result: Referrers are thanked without trouble to anyone.

  5. A schedule for staying in touch with past contacts

A note to former coordinators, school management and agents at points that make sense, such as the start of a term or a wedding season.

Result: You are remembered when the need arises.

How the result is measured

  • Referrals received
  • Referral conversion rate
  • Cost per referred customer

Recorded as a baseline before work starts, so every later report has an honest comparison.

How referrals work in this trade

Five kinds of people pass on your name, and one rule applies to all of them.

A facility or admin head at a client company
They refer when your driver is on time for months. Ask once a year for one introduction, and check the company's gift rules before giving anything.
A coordinator who has moved to another company
Note the new company and role in your register. Send a short congratulation and the vendor pack, with no demand attached.
Travel agents and destination management companies
They pass on groups when a vehicle turns up clean and early. Give them a standing rate card and a named contact, and record every group they send.
Wedding planners and banquet halls
They need a fleet that arrives dressed and on time for the muhurat. Share vehicle photographs and drop-off timings, and keep their guests' bookings in one record.
Other operators with overflow
Agree in advance which vehicles you will supply, the rate and who bills the customer, so a favour does not turn into a dispute.
What never to do
Never offer a commission or gift to the person who awards a contract, and never contact employees through the roster to ask for a referral.

Who it is for

This is written for these fleet operators.

  • Employee transport providers for IT parks and offices
  • Factory shift transport contractors
  • School and college bus contractors
  • Tempo traveller and mini-bus operators for tours, weddings and pilgrimages

  • Airport transfer and corporate cab fleets
  • Dedicated delivery fleets for e-commerce and FMCG

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for fleet operators

  1. 1

    Assess

A free audit of where your contracts and bookings came from, how quotes are tracked, how much fleet stands idle and which clients carry most of the revenue.

  2. 2

Get the papers and the rates ready

The vendor pack, a rate sheet worked from your running cost and a clear line on what each quote includes.

  3. 3

Be found for the right search

Pages by segment and place, Google Business Profile and listings, and the lists of facility heads, schools and agents worth calling.

  4. 4

    Quote, follow up and trial

A register for every RFQ and WhatsApp request, a follow-up date on every quote and a route trial handled as a sales step.

  5. 5

    Keep and renew

A contract calendar, an on-time record shown to the client before every review, and calls to travel agents who send you repeat groups.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we pay a commission to someone who sends us a contract?
Not to anyone who works at the buyer, and be careful with agents. A commission to a client's staff may break their conduct rules and the law. A travel agent's margin is different, because it is built into their own rate. Take advice before you agree any fee.
How do we track who sent whom?
Ask 'how did you hear of us?' on the first call and note the name. Add a source column to the register. For a company, ask the coordinator at the vendor registration stage, and cross-check with the person who gave your number.
Is it right to ask a school principal to refer us to another school?
Yes, but ask after a good term and not in the middle of a complaint. Offer to let the other principal visit your vehicles or speak to your coordinator. Let the principal decide whether to speak.
How often can we ask a client for introductions?
Once a year per client is plenty, and only after a clean stretch of service. Asking after every trip makes people stop calling. A thank-you and a mention of your availability for a colleague is enough.
Two companies give us most of our work. Is marketing really for us?
Yes, because that is the risk. If one cuts its routes your income drops at once. The first job is a list of the companies in your belt who could be a third and fourth client, and a vendor pack that is ready when one of them asks.
Should we register on cab aggregator platforms?
Use them to fill idle vehicles, not as your main source. They bring the booking but keep the customer, and their rates are set by them. Your own contracts and direct enquiries should carry the fleet, with the platform taking the gaps.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
