What to record, and when

Write these down per buyer and per contract, and the rest of the record follows.

Who decides and who rides
Record the signing authority, the daily coordinator and the passenger group. Their needs differ and they leave at different times, so each gets its own line.
Source of the first enquiry
Write how the buyer first reached you: RFQ, a referral, Maps, an agent. Enter it on day one, because the buyer will not remember in a year.
Route, shift and vehicle type
Pick-up zones, shift timings, headcount and vehicle type decide your cost. Record them at quote stage, then update them when the roster changes.
Quote and the operator you were compared with
Enter the rate, what it includes and the rival named. When you lose, ask why and record the answer in the buyer's own words.
Contract start, review date and payment terms
Put the review date in a calendar field and have it flag well before. Record payment terms and the days actually taken, since slow payers cost working capital.
Do you need software yet?

Is a spreadsheet enough, or do we need CRM software?
A spreadsheet with separate tabs for accounts, contracts and enquiries is enough for a long while. Move to software when more than one person edits it, or when you need reminders sent to the right person without anyone remembering.
Our dispatchers do not update anything. What do we do?
Cut the form to the five fields they need while on the phone, and make the register the only place a booking counts. If it is not in the register, the vehicle is not assigned. Then check it with them in the morning.
A lot of our business is on WhatsApp. How does that go into a CRM?
Record the outcome and not the whole chat: who, route, date, quote and what was agreed. Save the final confirmation message with the record. Forwarding every message is slow and nobody reads it later.
Who owns the data on employees we carry for a client?
The client owns the employee list and you hold it to run the service. Keep it apart from your sales records, restrict access to dispatch, and delete it when the contract ends. Your adviser can tell you what data protection law requires.
Two companies give us most of our work. Is marketing really for us?
Yes, because that is the risk. If one cuts its routes your income drops at once. The first job is a list of the companies in your belt who could be a third and fourth client, and a vendor pack that is ready when one of them asks.
Should we register on cab aggregator platforms?
Use them to fill idle vehicles, not as your main source. They bring the booking but keep the customer, and their rates are set by them. Your own contracts and direct enquiries should carry the fleet, with the platform taking the gaps.
How much does it cost?

How long is the contract?
