Where enquiries come from
A fleet operator hears from buyers in six ways, and each needs a different reply and a different line in the register.
- RFQ or rate request from a company's procurement
- Log the company, the contact, the closing date, routes and the shift timings asked. Reply with a complete quote and the vendor pack, naming a contact who will answer for the trial.
- Facility or admin head calling after a missed pick-up
- Record which operator failed and when. Offer a one-route trial the same week, and note the date the existing contract is reviewed.
- Travel agent or event planner on WhatsApp
- Log the agent, the date, the group size and the destination. Reply with the vehicle photograph, seats and an all-in rate, and ask whether the client is fixed or comparing.

- Log the institution, the contact, the number of routes and the closing date. Check route lengths, driver rules and attendant requirements before you quote.
