Flower shops · Follow up systems

Chase the wedding quote, and confirm the sympathy order in minutes.

A follow-up system for a florist runs two clocks at once: the wedding quote that needs chasing over weeks, and the same-day order that needs confirming before the customer calls the next shop. GullySales sets the attempts, the timing and the written rule for when to stop.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

A pneumatic tube station on a panelled department-store wall: five brass tubes dropping from the ceiling to their hinged terminals, a wire basket slung under one of them with a carrier capsule just landed in it and the flap still open, a rack of spare capsules, a call bell on a bracket, a pressure gauge and a plain clock with no numerals

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For flower shops

Where it usually goes wrong, and what we would do.

  • “A wedding quote needs chasing and a funeral order needs answering”

The bride who asked for a mandap quote in January is comparing three florists and will not reply for a fortnight. The family arranging a wreath needs a yes in ten minutes and must never be chased.

  • “The date decides when chasing becomes pointless”

There is no value in following up an anniversary enquiry the day after the anniversary. Every reminder is scheduled backwards from the occasion the customer named.

  • “Corporate accounts go quiet after a slip, not before a renewal”

A hotel taking weekly lobby arrangements will not tell you it is unhappy. The follow-up that saves the account is the call after a late delivery.

What we do

What we deliver for flower shops.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Two tracks, one for the event quote and one for the urgent order

A sequence spread over weeks for weddings and corporate proposals, and a reply-within-the-hour rule for birthday, anniversary and sympathy enquiries.

Result: An urgent order is never treated like a wedding, and a wedding is never dropped after one message.

  2. Reminders scheduled backwards from the customer's date

Timing set against the wedding, anniversary or event date the customer gave you rather than a fixed number of days after the enquiry arrived.

Result: The last reminder lands while the order can still be placed.

  3. Written messages for the quote that went quiet

Ready wording for a bride who has not replied, including one that asks plainly whether the budget was the problem.

Result: You learn why you lost rather than wondering.

  4. A stop rule the team can point at

Two attempts on a bouquet enquiry, four spread across the weeks before an event, then the enquiry is closed with a reason recorded.

Result: Nobody is messaged into irritation and nobody is quietly forgotten.

  5. A call after every late or disputed delivery

A same-day check with the customer whenever a delivery slipped or an arrangement was queried, made before they write about it in public.

Result: A complaint reaches you first.

  6. Missed calls returned during the peak dates

A rule for Valentine's Day and Mother's Day covering who returns the calls that rang out, by when, and how the address and cut-off are confirmed in writing.

Result: The busiest days stop losing orders to a ringing phone.

  7. Completion and conversion read against the baseline

How many enquiries received their scheduled attempts, and how many converted, set beside the baseline recorded before work started.

Result: You can tell whether chasing weddings is paying for itself.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Who it is for

This is written for these flower shops.

  • Neighbourhood flower shops
  • Wedding and event florists
  • Corporate and hotel flower suppliers
  • Online flower delivery services
  • Florists specialising in funeral and sympathy arrangements
  • Florists inside malls and commercial complexes

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Each step has a point in time and something you receive.

  1. 01 · Day 1

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later month has an honest comparison.

  4. 04 · Month 1

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. 06 · At the end of the term

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for flower shops

  1. 1

    Assess

We look at how the shop appears for the same-day, urgent search, how wedding enquiries are quoted, and whether corporate standing orders are being pursued at all.

  2. 2

Fix the profile and the delivery promise

Google Business Profile set up for the delivery radius and hours, and a clear, honest same-day delivery promise the team can actually keep.

  3. 3

Build the wedding and event portfolio

A page of real past arrangements organised by style and budget, so a couple can judge quality before asking for a quote.

  4. 4

    Win same-day and planned orders

Local search and Google Ads for urgent searches, and outreach with the portfolio for wedding planners and venues.

  5. 5

    Win and keep corporate accounts

A pitch for standing weekly arrangements to hotels and offices, and a reliability record that protects the account at renewal.

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

  • A baseline before anything starts

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How long do we keep chasing a wedding enquiry?
Until the wedding is booked elsewhere or the date passes. In practice that means a few spaced attempts over the weeks before, with the last one about a fortnight out. A bride comparing florists does not think she is ignoring you.
Should we follow up a funeral order at all?
Not to sell. Confirm the delivery, and leave it there. A sympathy customer contacted again with an offer will remember it, and not kindly. If they come back, they come back on their own.
How is marketing different for same-day orders versus weddings?
Same-day orders need speed and a strong local search presence; weddings need a portfolio and patience over weeks. We build both, tracked separately.
Do we need ads for Valentine's Day and Mother's Day?
Usually yes, in the week before. Searches for flower delivery jump around these dates, and many orders are placed only a day or two ahead. A small, radius-limited ad budget then catches buyers your profile alone would miss.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
