Dermatology clinics · Follow up systems

Ring the patient who stopped after the second peel, before the course goes cold.

Follow-up for a dermatology clinic is the chasing, not the record: the photo that got a reply and then silence, the patient who was quoted a course and vanished, the one who stopped halfway through it. GullySales writes the routine, the wording and the point at which your desk stops.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For dermatology clinics

Where it usually goes wrong, and what we would do.

  • “The half-finished course is the call worth making first”

Somebody who paid for six sittings and came twice is not a lost enquiry, it is an unfinished treatment sitting in your diary. Asking whether the skin reacted badly brings more of them back than a reminder about an appointment date.

  • “A photo that got an answer and then silence needs a different message”

That patient went quiet on the price or on nerve, not on the diagnosis. Offering to hold a Saturday slot moves them. A message saying you are following up does not.

  • “Write down where the chasing stops”

A person with a visible skin problem who has not replied twice should not hear from you a third time. Agree the limit, put it on paper, and the desk is not left deciding it on a quiet afternoon.

What we do

What we deliver for dermatology clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A recall list for patients mid-course

Everyone who has paid for a course and missed their next sitting, pulled out as a list with the sitting number against each name.

Result: The clinic chases treatment, not just money.

  2. Wording for the cosmetic enquiry that went quiet

Short messages for the patient who was quoted laser or fillers and stopped replying, written to give a reason to answer rather than to repeat the price.

Result: The desk has something to send that does not feel like pestering.

  3. A stop rule the doctor has approved

The number of attempts, the gap between them and the point at which a patient is left alone, agreed with you and pinned up where the desk can see it.

Result: Nobody pressures a patient because they were unsure what was allowed.

  4. Post-procedure check calls built into the day

A short call to a patient who had a peel, a laser session or a mole removed, asking how the skin settled and booking the review if one is due.

Result: A worried patient rings you instead of a competitor's WhatsApp.

  5. A count of what the chasing recovered

Patients brought back to a sitting or a consultation through follow-up, kept separately from new enquiries so the two are never confused.

Result: You can tell whether the routine is worth the time it costs.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for this trade

Here is what the front desk does next for each kind of patient who has stopped replying.

Patient sent a photo, then silence
The coordinator replies once to say the doctor has seen it and an in-person consultation is needed. Offer appointment slots and record whether the patient answered.
Course quoted, patient did not start
Ask whether the cost, travel or time decided it, and let the doctor know the reason. Offer a short call with the doctor if the patient has a medical question.
Patient stopped mid-course
Check the schedule and call to ask whether something got in the way. Record the reason and tell the doctor, who decides whether to advise the patient.
Review visit missed
Ring the patient and offer a new slot. If he says the problem has settled, note this and let the doctor decide on the next step.
Procedure completed
Make the check call the doctor has approved to ask whether the patient has any questions on aftercare. Escalate any concern to the doctor straight away and record it.
Patient referred by another patient
Thank the referrer without any payment or favour. Note the source on the new patient's record so you know which relationships bring patients.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the follow up systems work runs

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

How many times should we follow up somebody who was quoted a course?
Agree a number, write it down and hold to it. What matters more is the reason to call. A patient who hears that the doctor wants to check how the first sitting settled will answer. One who hears you are chasing payment will not.
Is it right to chase a patient about a medical concern at all?
Reminding somebody their treatment is unfinished is care, not selling. Selling is what it becomes when a patient who has said no keeps hearing from you. Keep the message about the skin and about the appointment, and keep the stop rule visible to whoever is sending it.
Can we use WhatsApp to follow up patients?
Use WhatsApp only with the patient's permission and for plain logistics such as appointment times and reminders. Medical concerns, photographs and prescriptions belong in the consultation. Check your medical council's current guidance, since advertising and communication rules differ and change.
A patient says no to the course. What do we record?
Write the reason in the patient's words, such as cost, travel, fear or a second opinion. Do not argue or offer a discount to persuade him. Tell the doctor, and note whether the patient agreed to a later reminder.
How is marketing for a dermatology clinic different from a general hospital?
Patients search by named treatment, such as acne scar treatment or vitiligo treatment. They decide largely on visible proof, doctor qualification and photo trust, rather than on the hospital's general reputation. The pages, reviews and reply process need to be built around specific concerns rather than one general services listing.
Do we need ads or SEO for a dermatology clinic?
Most clinics benefit first from a complete Google Business Profile and a fast WhatsApp reply, which cost nothing in media. Ads make sense for cosmetic procedures such as laser hair removal or anti-ageing treatment, where you want bookings filled this month. SEO then works alongside them for enquiries that keep arriving once the spend stops.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
