Dermatology clinics · Customer retention

Finish the course, then own the maintenance sitting nobody remembers to book.

Retention for a dermatology clinic is the patient coming back: the remaining sittings of a course, the touch-up after it, the annual skin check, the second concern they mention in passing. GullySales sets up the recall behind each of those, and says plainly where a loyalty scheme has no place.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What customer retention means

Customer retention is keeping an existing customer buying again rather than losing them to a competitor after the first purchase, usually cheaper than winning a new customer. GullySales sets a routine of check-ins and renewal reminders aimed at customers before they show signs of leaving.

For dermatology clinics

Where it usually goes wrong, and what we would do.

  • “The course is already sold, so retention here is mostly diary work”

Six peel sittings, eight laser sessions, a series of PRP. The patient has agreed to come back. Holding the dates and noticing the gap does more than any campaign you could run at them.

  • “Maintenance is the part nobody books”

Laser hair removal needs a touch-up long after the package ends, and fillers settle. The patient does not diarise it, the clinic does not either, and so they walk into whichever clinic is nearest on the day they notice.

  • “Points on a medical visit are the wrong idea”

A package price on a cosmetic course is a fair scheme and you probably already run it. A card that rewards a patient for more visits rewards them for needing more treatment, and inducements to patients sit in restricted territory. Take that one to your compliance adviser.

What we do

What we deliver for dermatology clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A recall date set at the end of every course

The touch-up or review date agreed while the patient is still in the chair for the last sitting, written into the diary rather than left to memory.

Result: The maintenance visit has a date before the patient leaves.

  2. The second concern captured at the consultation

The thing a patient mentions in passing, a mole, dandruff, a nail problem, recorded so it can be raised again rather than forgotten with the notes.

Result: One patient becomes two courses of treatment over time.

  3. A seasonal recall for the concerns that come back

Contact timed to when a condition actually returns, for example fungal complaints in the monsoon and dry, flaring eczema in the cold weather.

Result: You reach the patient in the week they were about to search.

  4. A package price written down instead of a loyalty card

Cosmetic courses priced as a course, on paper, with what is included, replacing any scheme that would reward repeat medical visits.

Result: The clinic has an honest offer and nothing that needs defending.

  5. Course completion reported as its own number

Sittings booked against sittings attended for each course type, so a treatment that patients keep abandoning halfway becomes visible.

Result: You can see which course is losing people, and where.

How the result is measured

  • Retention rate
  • Repeat purchase rate
  • Customers won back

Recorded as a baseline before work starts, so every later report has an honest comparison.

Work it out from your records

Your consultation notes and sitting records show who finished, who stopped and who is due back.

Sittings sold against sittings done
For each course list the sittings the patient agreed to and the sittings completed. Patients who stopped partway are a clinical follow-up, so let the doctor decide who to call.
Gap since the last sitting
List patients whose gap since the last sitting is longer than the interval the doctor advised. For a skin course the gap affects the result, so this is a care check as much as a diary one.
Maintenance or review booked at the end
At the end of each course note whether a maintenance or review visit was booked before the patient left. Those without one are the ones who will not return on their own.
Second concerns mentioned and not seen
Read consultation notes for a second concern the patient raised in passing, such as hair or pigmentation. Mark it open, so a later recall can offer a proper visit for it.
Concerns that come back with the season
Mark patients whose condition flares at a time of year, such as a monsoon fungal infection or winter dryness. Make a list for the start of that season, with the doctor's agreement.
Missed and rescheduled appointments
Count no-shows and reschedules per patient. Someone who has moved their sitting more than once may have a concern about cost, time or the treatment, and a call from the doctor's team helps.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the customer retention work runs

  1. 1

    Assess current retention

A first read of current retention rate, existing tactics and where they are or are not coordinated.

  2. 2

    Build the strategy

A written plan developed covering priority segments, touchpoints and a measurable target.

  3. 3

    Align existing tactics

Current retention activities mapped against the strategy and adjusted to work together rather than independently.

  4. 4

    Track toward the target

Retention tracked against the goal, with the strategy adjusted as results come in.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Should a skin clinic run a loyalty programme?
For cosmetic work, a package price on a course is the scheme worth having, and most clinics already have it. For medical treatment, no. You would be rewarding somebody for needing you more, and rules on inducements to patients differ and change, so ask your adviser before anything is printed.
How do we bring back a patient who finished treatment a year ago?
Through the concern, not the clinic. The woman treated for acne in her twenties is the right person to tell about scar revision. Somebody who had one mole removed is the right person to invite for a skin check. A general message about the clinic gets ignored.
Can a reminder message name the treatment or the condition?
Better not. Skin conditions are sensitive and a phone may be seen by others. Say the clinic's name and that a visit is due, and put the details in the call. Check your own council's guidance and the patient's recorded consent before messaging.
A patient asks for her records to take to another clinic. Does that mean we lost her?
Not necessarily, and you should give them. Patients are generally entitled to copies of their records, and refusing damages trust. Hand them over politely and ask if anything could have been better. Some come back, and the reply gives you a reason to improve.
How is marketing for a dermatology clinic different from a general hospital?
Patients search by named treatment, such as acne scar treatment or vitiligo treatment. They decide largely on visible proof, doctor qualification and photo trust, rather than on the hospital's general reputation. The pages, reviews and reply process need to be built around specific concerns rather than one general services listing.
Do we need ads or SEO for a dermatology clinic?
Most clinics benefit first from a complete Google Business Profile and a fast WhatsApp reply, which cost nothing in media. Ads make sense for cosmetic procedures such as laser hair removal or anti-ageing treatment, where you want bookings filled this month. SEO then works alongside them for enquiries that keep arriving once the spend stops.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
