Dermatology clinics · CRM

Hold every enquiry, sitting and consent in one record the clinic owns.

A CRM for a dermatology clinic is the record behind the enquiry: who asked, about which concern, from where, which doctor they saw, which sitting of the course they are on, and what they agreed their photographs may be used for. It is not the clinical file. GullySales agrees the fields and trains the desk to fill them.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

Last updated 5 Oct 2026. Rules for this trade differ by state and professional body, and they change. We describe restrictions in general terms, so check the current position with your own council or adviser before you publish anything.

For dermatology clinics

Where it usually goes wrong, and what we would do.

  • “The CRM is not the clinical record, and mixing them causes trouble”

Diagnosis, prescription and history belong in your hospital software. The CRM holds the enquiry, its source, the plan and the next action. Clinical notes typed into a marketing tool create a problem nobody at the clinic wanted.

  • “Photo consent is a field with a date, not a form in a drawer”

Before and after images are the most useful thing a skin clinic owns and the most restricted. Unless the record says what this patient agreed to and when, nobody choosing an image for a page can tell which one is safe to use.

  • “The enquiry lives on the receptionist's phone and leaves with her”

A photo of a rash sent to a personal number is invisible to everyone else and gone the day she resigns. A clinic number and one entry per enquiry keeps the history inside the clinic.

What we do

What we deliver for dermatology clinics.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. The fields agreed with you, and nothing beyond them

A short list the front desk completes for every enquiry, including the concern in the patient's own words and where they came from, kept short enough to finish inside a minute.

Result: The record gets filled because filling it is quick.

  2. Photo consent recorded against the patient

What the patient agreed to, for which treatment, on what date, visible to whoever is picking an image for a page or a listing.

Result: Nobody has to guess whether a photograph may be shown.

  3. A clinic WhatsApp number that feeds the record

Photo enquiries arriving on a number the clinic owns, with each conversation logged against the patient rather than sitting in a staff member's chat list.

Result: The history stays when the person at the desk changes.

  4. Treatment plan and sitting number stored in the record

Which course the patient is on and which sitting is due, so any doctor or desk staff opening the record sees where the patient has reached.

Result: Anybody answering the phone knows what the patient is halfway through.

  5. Access by role, and a handover when somebody leaves

Who can see which patient details set by role, with a written step for removing access and passing on open enquiries when a staff member resigns.

Result: Patient details do not leave the clinic in a personal phone.

  6. A short end-of-day check that keeps it current

Whoever ran the desk compares the day's calls and messages against what was entered before closing, and fixes the gaps while they still remember them.

Result: The record matches the day it is supposed to describe.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to record, and when

What a skin clinic's desk should record about every enquiry, and whether it needs software yet.

Concern asked about
Choose from a fixed list: acne, pigmentation, hair fall, warts, eczema, laser or others you treat. The word the patient used goes in a note beside it. Counting concerns shows which pages bring consultations and which only bring photographs.
Which doctor, and which clinic
Write the doctor the patient asked for or was booked with, and the branch. Patients often want a named doctor, and a booking with the wrong one is a visit the patient will not repeat.
Course and sitting number
For a treatment course, note the plan the doctor set and which sitting the patient is on. A patient between sittings who is not reminded often drifts away, and the course is left incomplete.
Photograph consent
Record separately whether the patient allowed photographs to be taken for treatment notes and whether they allowed any use outside the clinical file. Without a clear yes, do not use the photograph anywhere.
Who may open the record
List who at the desk can see which fields, and remove access the day someone leaves. Skin concerns are personal, and a former employee still logged in is a risk to the patient and to you.
Do you need software yet?
A shared sheet with few fields is enough for a solo clinic if access is controlled. Clinical notes and photographs stay in the clinical system. Move to a CRM when several doctors and a front desk share enquiries and sittings.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the crm work runs

  1. 1

    Map the sales process

We record how a deal actually moves from enquiry to close in your business today.

  2. 2

    Configure stages and fields

The CRM's pipeline and fields are built to match that process exactly, not a generic template.

  3. 3

    Set up automations

Reminders, assignment rules and follow-up triggers are configured so routine steps happen without manual effort.

  4. 4

    Test with real deals

We run the configuration against actual current deals to catch gaps before the whole team relies on it.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

We already have hospital management software. Do we need another system?
Check whether it records where an enquiry came from and what the next action is. Most billing and appointment systems do neither. If yours does, we configure it. If it does not, a simple shared sheet used properly beats a second clinical system nobody fills in.
What must the front desk enter for every enquiry?
Name, number, the concern in the patient's own words, where they came from, the doctor, the next action with its date, and the consent status. That is the whole list. Clinical detail stays in the clinical file, which is a different system with different rules.
Patients send skin photographs on WhatsApp. Where should they be kept?
Photographs of a patient's skin are health information. Move them into the clinical record on receipt and delete them from the phone gallery and any personal device. Do not store them in the enquiry sheet. Ask your adviser what your obligations are for retention and consent.
A patient asks us to delete their details. What do we do?
Agree a process before it happens: who receives the request, how identity is checked, what is deleted and what must be kept in the clinical record under medical rules. Remove the person from marketing messages at once. Take your adviser's view on the rest.
How is marketing for a dermatology clinic different from a general hospital?
Patients search by named treatment, such as acne scar treatment or vitiligo treatment. They decide largely on visible proof, doctor qualification and photo trust, rather than on the hospital's general reputation. The pages, reviews and reply process need to be built around specific concerns rather than one general services listing.
Do we need ads or SEO for a dermatology clinic?
Most clinics benefit first from a complete Google Business Profile and a fast WhatsApp reply, which cost nothing in media. Ads make sense for cosmetic procedures such as laser hair removal or anti-ageing treatment, where you want bookings filled this month. SEO then works alongside them for enquiries that keep arriving once the spend stops.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
