Occupational therapy and rehabilitation centres · Referral marketing

A paediatrician's one line is worth more than a hoarding on the main road.

Referral marketing for an occupational therapy and rehabilitation centre is making it easy for doctors, schools, other therapists and families to send someone to you, and recording who sent whom. GullySales builds the referral sheet, the feedback routine and the register, keeping within the ethics rules of your profession.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What referral marketing means

Referral marketing in a regulated practice is being the one a physician, a colleague or a former patient names, without being paid to, because paying for a referral is restricted in most of these professions. GullySales builds the ask into the moment a patient is satisfied and into the note that goes back to the referring doctor, and it never involves a fee.

For occupational therapy and rehabilitation centres

Where it usually goes wrong, and what we would do.

  • “Doctors refer where they have heard back”

A paediatrician sends a child to a centre that tells him, within privacy rules, that the child came. Silence makes him stop.

  • “Schools notice before parents act”

A class teacher or counsellor is often the first to see a difficulty. She needs to know whom to suggest and what to tell the parent.

  • “Payments for referrals break professional ethics”

Councils and associations restrict rewards for sending patients. The centre has to earn referrals through service and communication.

What we do

What we deliver for occupational therapy and rehabilitation centres.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A one-page referral sheet

A sheet for doctors, schools and therapists describing what the centre treats, who to contact and how a referral is made.

Result: A referrer knows how to send a family to you.

  2. A feedback routine to referrers

A short note to the doctor or school confirming a family has come, within privacy rules and the family's consent.

Result: The referrer sees the loop closed.

  3. A referral register

A private record of each family's source and the referrer, kept so the centre can thank the right people.

Result: You see who sends families and who has gone quiet.

  4. A parent-to-parent introduction card

A card for families who wish to tell another parent about the centre, giving the number and how to book.

Result: Families can pass the details on easily.

  5. School visits and talks

A talk for teachers and counsellors on classroom difficulties and when to suggest an assessment.

Result: Schools know when to refer and whom.

How the result is measured

  • Referrals received
  • Referral conversion rate
  • Cost per referred customer

Recorded as a baseline before work starts, so every later report has an honest comparison.

How referrals work in this trade

The people who send a therapy centre its families, and how to keep them sending.

Paediatricians and developmental paediatricians
A doctor refers a child when he trusts the therapist and the process. Share what the centre treats and how a child is seen, and tell him a family has come, only with consent.
Neurologists and orthopaedic surgeons
A specialist sends patients who need rehabilitation or hand therapy. Give a named contact and a summary of programmes, and send a short note on a patient's plan, with the patient's consent.
School counsellors and special educators
A counsellor suggests an assessment to a parent. Offer a talk to staff, a note on what to say to a parent, and a route that does not label the child.
Speech therapists and psychologists
A child often needs more than one professional. Agree how you will share a plan with the parent's consent, and refer to them as readily as they refer to you.
Parents and parent groups
A parent tells another parent. Give a card to those who offer, and answer the new parent's first call as carefully as the first parent's. Do not ask for a family's story.
What never to do
Never pay or give gifts to a doctor, teacher or agent for sending a family, never promise a result to attract a referral, and never share a family's details without consent.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the referral marketing work runs

  1. 1

Understand your margin and customer relationship

We agree what reward is genuinely sustainable and appropriate for your business and customer type.

  2. 2

    Audit existing informal referrals

We check how much word of mouth already happens, to size expectations for the formal programme realistically.

  3. 3

    Design the offer and mechanism

A specific reward and an easy sharing method are built and tested.

  4. 4

    Implement and promote

The programme is surfaced at the right moments in your customer journey.

  5. 5

    Measure and adjust

We track referrals and conversions, adjusting the reward or promotion if uptake is low.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Can we give doctors a reward for referring patients?
Do not offer money or gifts for referrals. Councils and associations restrict this and it can put a registration at risk. Rules differ by body and change, so check with your own council. Earn referrals through service and feedback.
How do we record who referred a family?
Ask at the first call and again at registration, and write the name of the doctor, school or parent in the register. Check the field when the family enrols, and use it to thank the referrer in a way your council allows.
How do we approach a paediatrician for referrals?
Send the referral sheet and ask for ten minutes to explain what you treat and how a child is seen. Offer a visit to the centre, and report back only with the family's consent. Never ask a doctor to send every child.
How often should we ask existing families to refer others?
Mention it when the plan is reviewed or when a parent says something kind. Do not ask at every session. A family under strain should not feel they owe the centre a referral.
Can you advertise a centre for children with developmental differences?
Yes, within advertising rules for health services and the platforms' own policies, which differ and change. Ads and pages describe the service and the assessment, never an outcome. Check your own council or association before publishing.
Can we show photographs of children in therapy?
Not without the parent's written consent, and many centres choose not to show children at all. Show the rooms, the equipment and the therapists instead. Never show a child in a way that identifies a condition.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
