Occupational therapy and rehabilitation centres · Buyer journey

Follow the family from the teacher's note to the first assessment and the plan after it.

Buyer journey mapping for an occupational therapy and rehabilitation centre traces the steps from the first doubt about a child or a relative to the assessment and the plan. GullySales marks where families stop in your own enquiry record and fixes the stage that loses the most.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

For occupational therapy and rehabilitation centres

Where it usually goes wrong, and what we would do.

  • “The journey begins long before the first call”

A parent may carry a doubt for months, then act on a teacher's note or a doctor's remark. The centre meets her at the moment she decides to ask.

  • “The assessment is where trust is won or lost”

A parent who is listened to and given a clear plan returns. One who feels rushed or tested does not.

  • “The decision includes people who were not there”

A father, a grandparent or an insurer may have a say. A plan that makes sense to a person who was not in the room is the one that is followed.

What we do

What we deliver for occupational therapy and rehabilitation centres.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. An enquiry-to-plan journey map

A map from the first doubt through the call, assessment and plan discussion, drawn from your own record.

Result: You see where families stop.

  2. Drop-off points marked by stage

Each stage, from enquiry to assessment to enrolment, with how many families moved on.

Result: The stage losing the most families is clear.

  3. A separate path for referred families

A shorter map for families sent by a doctor or school, who arrive with more trust.

Result: Referred families are handled differently from searchers.

  4. What to have ready at each stage

The first-session page, the assessment form, the plan summary and the schedule options a family may ask for.

Result: No stage waits on a document nobody prepared.

  5. A follow-up point for each stage

A written trigger for a call or message, matched to the desk's capacity.

Result: No family waits at a stage with nobody assigned.

How the result is measured

  • Drop-off rate by step
  • Time from first contact to sale
  • Steps with no content

Recorded as a baseline before work starts, so every later report has an honest comparison.

Stages of this buyer's journey

From a first doubt to a plan the family follows, the steps taken before choosing a therapy centre.

A doubt and a trigger
A teacher's note, a doctor's remark, a stroke or a surgery brings the family to act. Ask on the first call what prompted it, since it shows how urgent and how worried they are.
Searching and asking
The family searches in their own words, asks other parents and checks reviews. Have pages for each difficulty and a listing with real photographs of the rooms.
Shortlisting centres
They compare two or three centres on distance, the therapist and how they were spoken to on the phone. Answer patiently, name the therapist and offer to show the centre.
The assessment
The therapist observes and talks with the parent. Explain each step, leave time for questions, and send a written summary afterwards that a relative can read.
Deciding on a schedule
The family weighs travel, school hours and the plan. Offer a schedule options sheet, and ask who will bring the child and who will do the home activities.
Staying with the plan
The plan review is where families decide to continue. Meet the parent, explain where things stand without promising a result, and call after missed sessions.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the buyer journey work runs

  1. 1

    Understand the sales process

We walk through how a sale actually happens today, from the person who first answers an enquiry to the one who closes it.

  2. 2

    Audit the data

Website analytics, call logs and CRM records are pulled together to see where people actually drop out, not where they are assumed to.

  3. 3

    Interview buyers and staff

A handful of recent customers and the team who speak to them fill in the reasons behind the numbers.

  4. 4

    Build the map

Stages, touchpoints and drop-off points are set out in one document everyone can read the same way.

  5. 5

    Fix and measure

Each fix is implemented against the stage it addresses, and the drop-off rate at that stage is checked afterwards.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

How long does a family take to decide on therapy?
It varies with the person and the reason. A hospital referral after a stroke may move fast. A parent unsure about her child may wait for months. Your register will show how long your own families take at each stage.
Who else is involved when a family chooses a centre?
A father, grandparents, the child's school, the paediatrician and sometimes the insurer. Ask who will review the plan, offer to explain it to them, and write it so a person who was not present can follow it.
A family went quiet after the assessment. How do we find out why?
Ask once, gently, what held them back: time, travel, the plan, doubt about therapy or another centre. Record the reply privately. Over time the replies show whether families stop on logistics or on trust.
How do we find where families drop out?
Record the date each family reached each stage: enquiry, assessment, plan discussion, first session. Count how many reached each. The stage with the largest fall is where to start. A private sheet is enough to begin.
Can you advertise a centre for children with developmental differences?
Yes, within advertising rules for health services and the platforms' own policies, which differ and change. Ads and pages describe the service and the assessment, never an outcome. Check your own council or association before publishing.
Can we show photographs of children in therapy?
Not without the parent's written consent, and many centres choose not to show children at all. Show the rooms, the equipment and the therapists instead. Never show a child in a way that identifies a condition.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
