Occupational therapy and rehabilitation centres · WhatsApp marketing

Remind the parent of the session without ever naming the child's condition.

WhatsApp marketing for an occupational therapy and rehabilitation centre is using a business number for appointment reminders, assessment bookings and plan messages to families who have agreed to hear from you. GullySales sets up the account, the saved replies and the privacy rules around what is never sent.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

For occupational therapy and rehabilitation centres

Where it usually goes wrong, and what we would do.

  • “Parents already message the centre on WhatsApp”

A first enquiry usually arrives as a question about timings or the assessment. If it goes to a therapist's personal phone, it vanishes when the therapist is in a session.

  • “A reminder helps and a diagnosis in a broadcast does not”

A message that says your son's sensory session is tomorrow is a privacy problem if the phone is shared. Reminders must be neutral.

  • “Group chats leak more than they help”

A parents' group with twenty families can expose which children attend. Keep updates to individual chats unless every family has agreed.

What we do

What we deliver for occupational therapy and rehabilitation centres.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A WhatsApp Business account on a centre number

A number with the centre name, address, hours and a short description, answered by the front desk.

Result: Enquiries stay with the centre, not a personal phone.

  2. Saved replies for first questions

Short replies for timings, the assessment, location and how to book, with a polite note to call for anything personal.

Result: A parent gets a clear answer without a long wait.

  3. Neutral appointment reminders

A reminder format with the date, time and centre name, and nothing about the condition or therapy.

Result: A family is reminded without a privacy worry.

  4. A consent record for each family

A note of who agreed to messages, when and about what, with a clear way to stop.

Result: You message only the people who agreed.

  5. A route from message to call

A rule that any question about a child's progress moves to a phone call or a visit with the therapist.

Result: Sensitive discussions stay out of the chat.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

What a therapy centre puts in place before using WhatsApp with families.

A written record of who agreed
Note the parent's name, number, the date and the purpose, such as appointment reminders. Ask at registration, and never add a number to a list just because you hold it.
A business profile on the centre's number
Fill in the centre's name, address, hours and a short description. Use one number on the signboard and the registration form, answered by the desk during opening hours.
Neutral reminder templates
A reminder you start yourself needs an approved template. Write it with the date, time and centre name only. Check WhatsApp's current business policy and pricing before planning volumes.
A rule on what is never sent
No diagnosis, no assessment report, no progress note and no child's photograph in a broadcast or a group. Share them in a private chat with the parent, or in person.
A clear way to stop messages
Add a line asking the parent to reply STOP to opt out, and honour it the same day. Note who opted out so they are not messaged again.
A person who answers
Decide who replies when a parent writes in the evening or during a session, and say when the centre will answer. Log each chat as an enquiry with its source.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the whatsapp marketing work runs

  1. 1

    Understand current WhatsApp use

We review how customers currently message you and how consistently, if at all, it is answered.

  2. 2

    Audit common questions

We identify the questions that come up repeatedly, which decide what should be automated first.

  3. 3

    Set up automation and templates

An automated first response and quick reply templates are built for the most common needs.

  4. 4

    Connect to the CRM

Conversations are linked to customer records so context carries over between team members.

  5. 5

    Measure and optimise

We track response time and conversion, refining automated responses based on what customers actually ask.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Should we use the WhatsApp Business API or the free app?
Start with the business app. The API suits a centre with several branches or a team answering at once, and needs a provider and approved templates. Check WhatsApp's current business policy before deciding.
Can we create a WhatsApp group for a batch of children?
Only if each parent has agreed to share a number with the others, and only for logistics such as timings or holidays. Never discuss a child's progress there. Many centres prefer individual chats and a printed notice.
Our therapists use their own phones with parents. Is that acceptable?
It is risky. The chat, the photographs and any reports leave with the therapist. Put family messages on the centre's number, and let therapists send a plan or note to the front desk to forward.
Is a catalogue of programmes useful?
Yes, for listing programmes, batch timings and consultation types with a plain description. Leave out prices that change and any wording that promises outcomes, and update it when timings change.
Can you advertise a centre for children with developmental differences?
Yes, within advertising rules for health services and the platforms' own policies, which differ and change. Ads and pages describe the service and the assessment, never an outcome. Check your own council or association before publishing.
Can we show photographs of children in therapy?
Not without the parent's written consent, and many centres choose not to show children at all. Show the rooms, the equipment and the therapists instead. Never show a child in a way that identifies a condition.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
