Occupational therapy and rehabilitation centres · Reputation management

Reply to the review without confirming who the child is.

Reputation management for an occupational therapy and rehabilitation centre is replying to every review in a way that respects the family's privacy and fixing the cause behind complaints. GullySales drafts the replies, sets up a consent-based way of asking and records each review against the centre's service.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

For occupational therapy and rehabilitation centres

Where it usually goes wrong, and what we would do.

  • “A public reply must not confirm a patient”

Saying we remember your son's sessions confirms a child is under treatment. A reply should thank the family and invite them to call the centre.

  • “Reviews are about the welcome as much as the therapy”

Parents judge the waiting time, the patience at the desk and whether the therapist explained the plan. Those are things the centre can fix.

  • “Progress is slow and parents say so”

A family that feels there is no progress may write it. The reply cannot argue or promise, and has to invite a plan review.

What we do

What we deliver for occupational therapy and rehabilitation centres.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A reply for each kind of review

Drafted replies for praise, a complaint about waiting, a missed-session dispute and a worry about progress, written not to confirm a patient.

Result: Every review gets a respectful answer.

  2. A consent-based review request

A message to a family after a plan review, asking about their experience of the centre and never about the child's condition.

Result: Reviews describe the welcome and the communication.

  3. A route from review to review of the plan

A named person who calls a family that raised a concern, with a plan review offered and the outcome recorded.

Result: A complaint turns into a conversation.

  4. Watching Google and directories

Reviews on Google, Practo and JustDial checked and answered from one place.

Result: No review is left unanswered.

  5. A note on what each review says about service

A short record of the themes, such as waiting, scheduling or communication, shared with the centre head.

Result: Reviews lead to a change in the centre, not only a reply.

How the result is measured

  • Average rating
  • Response time to reviews
  • Negative mentions resolved

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to do with each review

How to answer each kind of review a therapy centre gets, without confirming who the patient is.

Praise for the therapist's patience
Thank the writer for the kind words about the centre and invite them to share the feedback with the team. Do not mention the child, the sessions or the diagnosis in the reply.
Long wait before the session
Apologise for the wait without saying who waited. Look at the day's schedule and see whether sessions overlapped, and tell the desk to message families when a therapist is running late.
I do not see progress
Invite the family to call the centre head for a plan review, without arguing or promising. Check that the goals were written down and shared with the parent at the start.
Missed or cancelled sessions
Say the centre will check its records and ask them to call. Look at who cancelled, what was agreed about make-up sessions and whether the family was told.
A privacy worry
Take it seriously and ask the family to contact the centre head privately. Check that photographs, group chats and registers carry nothing that identifies a child to others.
Fee or package dispute
Reply that the centre will review the terms agreed and ask the family to call. Check that the package terms, session counts and missed-session rules were written down and given to the parent.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the reputation management work runs

  1. 1

    Understand current perception

We start by actually searching your business name and reviewing what a stranger would currently see.

  2. 2

    Audit existing mentions

We catalogue reviews, mentions and search results, flagging anything negative or inaccurate.

  3. 3

    Plan responses

A calm, factual response is prepared for anything that needs one, agreed with you before posting.

  4. 4

    Implement monitoring

Ongoing checks are set up so new mentions are caught promptly rather than discovered by accident.

  5. 5

    Measure and report

Sentiment and response times are reported, with your business name searched again to see what has moved.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Can we ask a family to remove a negative review?
You can ask once, after the concern has been properly addressed, and the family decides. Do not offer a discount or sessions in exchange, and never argue. Check each platform's current review rules.
A review names a therapist. How should we reply?
Reply as the centre and avoid naming the therapist in public. Say you will look into what the family wrote and invite them to call the centre head. Thank a praised therapist in person and record the feedback.
The parent wrote in Kannada or Hindi. Should we reply in English?
Reply in the language the parent used. A parent who wrote in Kannada reads a Kannada reply as proof that someone listened. If nobody on the team writes it well, ask a colleague to check the draft.
Can we ask every family for a review at the end of their plan?
Ask every family, the same way, in a message that does not mention outcomes. Do not ask only those who seem pleased. Do not give gifts or discounts for reviews, and check each platform's current rules.
Can you advertise a centre for children with developmental differences?
Yes, within advertising rules for health services and the platforms' own policies, which differ and change. Ads and pages describe the service and the assessment, never an outcome. Check your own council or association before publishing.
Can we show photographs of children in therapy?
Not without the parent's written consent, and many centres choose not to show children at all. Show the rooms, the equipment and the therapists instead. Never show a child in a way that identifies a condition.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
