Luxury hotels · Follow up systems

A luxury enquiry is won by the hotel that follows up politely and on time.

A follow-up system for a luxury hotel is the set of rules for who writes to an enquiring guest, what is said and when the next message goes. GullySales works on the reply scripts, the handover between shifts and the reminders that stop a warm enquiry going quiet.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For luxury hotels

Where it usually goes wrong, and what we would do.

  • “The first reply decides whether there is a second”

A guest who asked on Saturday night has asked other hotels too. The hotel that answers in writing, in a warm and specific voice, is the one the guest keeps talking to.

  • “A quote sent without a follow-up is a closed door”

The guest read the quote, liked it and was distracted. A polite message that answers a likely question, such as the view or the airport transfer, restarts the conversation without pressure.

  • “Handover between shifts is where enquiries fall”

The evening reservations agent says they will check availability, and the morning agent never sees the note. A single list that every shift reads removes the gap.

What we do

What we deliver for luxury hotels.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A reply script for every enquiry stage

Wording for the first reply, the quote, the gentle nudge and the final check-in, each in the hotel's voice and in your own words after editing.

Result: The desk never starts from a blank page.

  2. A next-step rule

Every open enquiry carries a named owner and a next action with a date, held on the sheet or CRM.

Result: No enquiry is left without an owner.

  3. A shift handover note

A short template for what is pending, who is waiting and what was promised, passed from one shift to the next.

Result: The morning team knows what the evening promised.

  4. Planner and corporate follow-up

A different rhythm for travel designers and corporate desks, who need confirmations and rate documents rather than persuasion.

Result: Professional buyers receive what they need to book.

  5. Post-stay follow-up

A thank-you note, a request for a review handed over at check-out and an invitation to return on a special date.

Result: Guests hear from the hotel after they leave.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How often should we follow up?
Set the gaps by the kind of buyer and the booking date, and stop when the guest says no. We do not fix a number here, because a wedding planner and an overnight guest need different handling.
Should the follow-up be on WhatsApp or email?
Use the channel the guest used first. Luxury guests who write first may prefer WhatsApp for speed, and corporate desks want email for the record. Write the same facts in both so nothing differs.
Can we automate the follow-up?
Reminders can be automated, and the message itself should be sent by a person or from a reviewed template. A guest who senses a robot at a luxury hotel will go elsewhere.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
