Serviced apartments · Customer retention
Find the companies that stopped sending staff and ring them before the next batch lands.
Customer retention for serviced apartments is keeping the companies, families and consultants who stayed once, and getting them to book again or extend. It is worked out from your own booking register and invoices. GullySales sets up the register fields and the call routine, so a lapsing account is spotted while it can still be won back.
Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What customer retention means
Customer retention is keeping an existing customer buying again rather than losing them to a competitor after the first purchase, usually cheaper than winning a new customer. GullySales sets a routine of check-ins and renewal reminders aimed at customers before they show signs of leaving.

For serviced apartments
Where it usually goes wrong, and what we would do.
“The company that stopped has not complained”
A firm that sent three employees last year and none this year did not write a review. It moved to another building after a poor stay or a cheaper quote, and nobody on your side noticed the gap.
“An extension is the cheapest stay you will sell”
A guest in week five who must extend because the flat they wanted is not ready needs one call. If the next booking is already on the calendar, the extension is lost to a clash or a rival.
“A guest who moved into a rented flat is not gone”
The family that stayed six weeks moved into a flat nearby, and its relatives and visitors still need somewhere to stay. They are the people to ask.
What we do
What we deliver for serviced apartments.
Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.
Register fields that show a repeat
Company name, GSTIN, contact, dates of each stay and the reason for move-out added to the booking register.
Result: A repeat company is visible without anyone remembering it.
Company account list with last stay dates
One line per company showing its stays, last move-out and the contact who books, merged across spellings.
Result: You see which accounts have gone quiet.
Extension and end-of-stay call routine
A call to every guest before a stay ends, asking about an extension and the next visit, logged on the record.
Result: An extension is offered before the unit is promised elsewhere.
Win-back call outline for lapsed companies
A short outline for calling a company that stopped: ask what changed, say what you fixed, and note the answer.
Result: A lapsed account is asked rather than assumed lost.
Message to guests who have moved out
A thank-you and an easy way to name a friend or colleague who is coming to the city.
Result: A guest who left happy is asked for the next booking.
Retention read-out
Companies that returned, extended or lapsed, set against the baseline recorded before work started.
Result: You see where guests and companies are leaving.
How the result is measured
- Retention rate
- Repeat purchase rate
- Customers won back
Recorded as a baseline before work starts, so every later report has an honest comparison.
Work it out from your records
Your booking register and invoices show which companies and guests have stopped coming.
- One line per company, not per booking
- Group bookings by the company name on the invoice and its GSTIN. A company booked under three spellings looks like three small accounts until you merge them.
- Stays and nights per company against the same period last year
- For each company list the stays and the nights this year and last year. The company that fell without a word is the first call.
- The gap between stays, company by company
- Work out the usual gap between one company's bookings from its own dates. Mark it as lapsed only when it has been silent for longer than its own gap.
- Extensions: who was asked, and who was not
- Mark every stay that ended on its booked date and every stay that was extended. A stay that ended on the date, with nobody asking about an extension, was a missed call.
- The reason at move-out
- Write why each guest left: posting ended, found a flat, poor stay or price. Count the reasons across the register. A cluster of poor stays shows up before the company does.
- Where the second stay was booked
- For companies with more than one stay, note whether each came direct or through a platform. It shows which first stays turned into direct bookings.

This is written for these serviced apartments.
- Purpose-built serviced apartment buildings with a reception
- Furnished flats run by an operator inside a gated community
- Apartments near tech parks for project teams and new joiners
- Medical-stay apartments near hospitals

Not for
It is not the right fit if.
- You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
- You need enquiries by next week and have nobody to answer them.
- You want posts and reach reported, not enquiries and orders.
How it works
From your first message to the first report.
No open-ended retainer. Every step gives you something in writing.
First
Your brief
You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.
After the brief
A conversation and a written scope
We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.
Before work starts
Baseline recorded
Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.
After the baseline
The first fix goes live
The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.
As agreed
Report against the baseline
What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.
At renewal
Renew on the numbers
The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.
How the customer retention work runs
- 1
Assess current retention
A first read of current retention rate, existing tactics and where they are or are not coordinated.
- 2
Build the strategy
A written plan developed covering priority segments, touchpoints and a measurable target.
- 3
Align existing tactics
Current retention activities mapped against the strategy and adjusted to work together rather than independently.
- 4
Track toward the target
Retention tracked against the goal, with the strategy adjusted as results come in.
Why us
Why owners pick GullySales over an agency.
Marketing and sales, as one job
Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.
The person on the first call does the work
No account managers in between. You are never handed to someone you have not met.
A baseline before anything starts
Your numbers are written down on day one, so every later report compares against something honest.
The fee in writing, split three ways
Our time, your media spend and production on separate lines. You always see what goes to us.
No guarantees we cannot keep
The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.
