What to record, and when

These are the things worth writing down at each point in a fit-out enquiry.

On the first call: the project facts
Record the client, the consultant, the space type, the area, the location, the drawing status and the date the quote is due. These decide whether you bid, so write them before anything else.
After the site visit: what you saw
Note the existing conditions, the building's rules and the queries raised. Attach the photographs and the visit date, so the estimator prices what the visitor saw.
When the quote goes out: version and assumptions
Record the quote number, the version, the date, the inclusions and exclusions and who received it. When a client says 'your last quote', you know which one he means.
At each follow-up: who said what
Record the date, the person spoken to, what was asked and the next step with an owner. A partner who was not on the call should be able to continue it.
When it ends: won, lost or on hold
Pick the reason from a short list: price, scope, schedule, relationship, postponed. Add one line in words. The reasons for a loss are the most useful column you will keep.

Should a small contractor use a spreadsheet or a CRM?
Start with a shared sheet with fixed columns and a dropdown for the stage. Move to a CRM when more than two people update it or follow-ups are missed. A CRM nobody updates is worse than a sheet people do.
Our site engineers will not update anything. What do we do?
Do not ask them to. Make the estimator or an office coordinator the keeper, and have the engineer send photographs and a message after each visit. The engineer's job is to see, and the keeper's job is to write it down.
What about conversations on WhatsApp with consultants?
Treat the chat as the source and the record as the summary. After a decision or a change of scope in a chat, write a line in the enquiry record with the date. Do not depend on scrolling a chat for a figure.
Who owns the data if a partner leaves?
The company does, and the record should sit in an account the company controls, not in a personal sheet or phone. Set it up that way from the start, with more than one person holding admin access.
Can we show photographs of completed projects?
With the client's written permission. Many corporate clients restrict photography of their premises, so the consent should be specific.
Can we name our clients?
Only with their permission. Some will allow the project to be shown without the name.
How much does it cost?

How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
