Payroll and HR outsourcing firms · Customer retention

Find the client who is leaving from the invoice, the register and the query log.

Retention for a payroll and HR outsourcing firm means keeping a client through the year-end, the first dispute and the day their own HR hire arrives. GullySales builds the record that shows who is drifting from your invoices, registers and query log, and the routine for ringing them first.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What customer retention means

Customer retention is keeping an existing customer buying again rather than losing them to a competitor after the first purchase, usually cheaper than winning a new customer. GullySales sets a routine of check-ins and renewal reminders aimed at customers before they show signs of leaving.

For payroll and HR outsourcing firms

Where it usually goes wrong, and what we would do.

  • “Clients leave quietly at the year-end”

The new financial year brings a new HR hire, a new auditor or a software tool, and the contract is quietly not renewed. The client had been unhappy for months.

  • “A shrinking headcount is a signal nobody reads”

A client whose payroll shrinks from one cycle to the next is cutting people, or moving some to another firm. The invoice falls and nobody asks.

  • “The executive who made the mistake is the one who calls”

After a late payment or a wrong deduction, the same person ringing to apologise is the worst choice. The client needs someone with authority to put it right.

What we do

What we deliver for payroll and HR outsourcing firms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A client health sheet from your own records

Invoices, headcount per cycle, queries raised and late inputs for each client, brought into one sheet.

Result: You can see who is drifting before they say so.

  2. A query log with answer times

Every client question recorded with when it arrived and when it was answered, by account.

Result: A pattern of slow answers shows before a client leaves.

  3. A year-end call for every client

A conversation with each client's finance head as their financial year closes, covering what went well, what did not and what changes next year.

Result: Few clients decide to leave without you knowing.

  4. An escalation route that bypasses the executive

A rule on who ring a client after a mistake, what they bring, and how the root cause is shown on paper.

Result: A mistake becomes a chance to show control.

  5. A win-back note for lapsed clients

A short, courteous message to clients who moved to in-house payroll or another firm, sent when their own situation is likely to change.

Result: A client returns when the clerk leaves.

  6. A lost-client record with reasons

Date, trigger, who told you and the reason, for every client who left, read against the baseline from the free audit.

Result: You fix the cause instead of guessing.

How the result is measured

  • Retention rate
  • Repeat purchase rate
  • Customers won back

Recorded as a baseline before work starts, so every later report has an honest comparison.

Work it out from your records

Which clients are drifting, found from your own invoices, registers and query log.

Clients still billed from the start of the year
List every client you invoiced at the start of the financial year and tick those still billed today. Work from the invoices, not from memory, and note when each missing client's last invoice went out.
Headcount per client across the cycles
From each client's payroll registers, compare employees paid in the first and last cycle. A client whose headcount is shrinking may be cutting staff, or moving some work to another firm.
Queries raised against queries answered
From your query log, count each client's questions and the time taken to answer. The clients with the most unanswered questions are the first ones to ring.
Cycles with late inputs
Count the cycles where attendance, joiners or exits reached you after the cut-off. A late client causes your errors and is blamed for them, so raise it before the next mistake.
Services bought per client
From the invoices, mark who buys payroll alone and who also buys filings, exits or labour audits. Clients with one service have the thinnest relationship and are the easiest to lose.
Reasons for clients who left
For each client who left, write the last invoice date, who told you, and the reason given, such as price, a mistake, an in-house hire or a software tool. Read the list for the common cause.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for payroll and HR outsourcing firms

  1. 1

    Assess

In the free audit we trace where your last signed clients came from, how many quotes were lost and why, and how onboarding actually runs for a new client.

  2. 2

    Make the work visible

Service pages by what you run, a note on how a run is checked, and a data-handling page, so an owner can judge your control without a visit.

  3. 3

    Fix the quote

A scoping sheet and a written quote that show what the rate covers, so you are no longer compared on one number.

  4. 4

Reach the people who recommend you

CAs, auditors, bankers, associations and software resellers, each with a short note on what you take and what you leave with them.

  5. 5

    Convert and keep

An enquiry record, an onboarding checklist with one owner, and a log of client queries that shows who is unhappy before they write the notice.

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

  • A baseline before anything starts

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

When do we treat a client as lapsed?
When you did not run their last cycle, or the agreement has ended without renewal. Treat a client as at risk before that, when headcount shrinks, inputs arrive late or queries pile up unanswered.
Is it worth winning back a client who moved to in-house payroll?
Often, yes. In-house payroll tends to fail when one person leaves. Send a courteous note, keep the contact warm, and be ready with a handover plan so the switch back takes little effort from them.
Who should ring a client who has raised many queries?
The account manager or the founder, not the executive who answered the queries. Bring the log, the causes you found and what has changed. A client wants to hear that someone with authority read it.
A client wants to cancel after one mistake. What can we do?
Go and see them. Bring the cause on paper, the correction already made, and the change in how the check is done. Do not argue the fault. A client who sees the control tighten is more likely to stay than one who receives an apology.
How do we market ourselves without naming our clients?
Show the control, not the logo. Describe the work by sector, state and size of payroll, and publish a note on how a run is checked. Name a client only with their written agreement, because payroll is among the most private work a company hands out.
Should we publish our per-employee rate?
No. A bare number invites the comparison you are trying to escape. Publish what the rate covers and what is billed separately, and give the figure in a written quote after a scoping call.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
