Payroll and HR outsourcing firms · Reputation management

The review that hurts is from a client's employee whose salary was short.

Reputation for a payroll and HR outsourcing firm is what an owner finds when they search your name before a first call, and who has written about you. GullySales sets up the monitoring and the replies, and builds a routine for collecting letters from clients who would speak for you, inside what they are allowed to say.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What reputation management means

Reputation management is watching what is said about your business across Google, social media and review sites, and responding to it before it changes a buyer's mind. GullySales monitors mentions, drafts responses to negative reviews and flags recurring complaints back to your team.

For payroll and HR outsourcing firms

Where it usually goes wrong, and what we would do.

  • “The unhappy reviewer is not your client”

An employee of a client company whose salary was short writes on Google that the payroll firm is a fraud. The client's owner reads it and wonders about you.

  • “Clients may not be allowed to review a vendor”

Finance heads at larger companies often cannot post about suppliers. The proof you need comes as a letter, not a star rating.

  • “A penalty notice is remembered longer than a clean year”

A missed challan that costs a client a late fee gets told at every dinner. Clean years are never mentioned.

What we do

What we deliver for payroll and HR outsourcing firms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Monitoring across search, directories and employer sites

Checks of your Google listing, directories such as JustDial and the employee review sites where firms get discussed.

Result: A damaging post is found early.

  2. Reply wording for employee complaints

A calm reply that says you serve the employer, gives a route to the client's HR, and discusses nothing about the employee's pay.

Result: A reader sees a firm that answers and keeps confidence.

  3. Notes from finance heads you can quote

Short written comments on the client's letterhead or a LinkedIn recommendation, with permission to quote, kept for outreach and panel applications.

Result: You have proof for a buyer who has never heard of you.

  4. A query log that shows trouble early

Every client query logged with the date it arrived and the date it was answered, so a pattern appears before a bad review does.

Result: The cause is fixed before it reaches the public.

  5. A response plan for a missed filing

Who tells the client, what is said, what is fixed and how the learning is recorded, written before it is needed.

Result: A mistake is handled without panic.

  6. A reputation summary

New reviews, replies sent, letters collected and items open, reported against the baseline from the audit.

    Result: Nothing damaging sits unanswered.

How the result is measured

  • Average rating
  • Response time to reviews
  • Negative mentions resolved

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to do with each review

How to answer each kind of review a payroll firm gets.

A client's employee says salary was short
Reply once. Say you work for the employer and cannot discuss anyone's pay, and give the route to the client's HR. Then check the client's cut-off record to see whether the short pay began with the inputs.
A client's HR admin says queries are answered late
Reply with thanks and ring them. Pull their query log, find the slow answers and fix the cause, such as one overloaded executive. Tell them what changed when you call back.
A client owner says a challan was missed
Treat it as serious. Check the record, state the facts in a calm reply without blaming the client, offer a call, and write the cause and the fix in your own file.
A former client says you were too expensive
Thank them in a line and leave the door open. Do not discuss their rate or reasons in public, and record the reason in your own lost-client file.
Praise from a finance head
Thank them by first name and ask whether you may quote the comment. Name the company only if they agree, and never post anything that reveals what they pay.
A review that reveals salary details
Report it to the platform if it breaks the platform's rules, and do not repeat the details in your reply. Check how the information left the company, and tell the client if it came through you.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for payroll and HR outsourcing firms

  1. 1

    Assess

In the free audit we trace where your last signed clients came from, how many quotes were lost and why, and how onboarding actually runs for a new client.

  2. 2

    Make the work visible

Service pages by what you run, a note on how a run is checked, and a data-handling page, so an owner can judge your control without a visit.

  3. 3

    Fix the quote

A scoping sheet and a written quote that show what the rate covers, so you are no longer compared on one number.

  4. 4

Reach the people who recommend you

CAs, auditors, bankers, associations and software resellers, each with a short note on what you take and what you leave with them.

  5. 5

    Convert and keep

An enquiry record, an onboarding checklist with one owner, and a log of client queries that shows who is unhappy before they write the notice.

Proof

What happened when owners fixed this.

Real clients, the work we did, and the result as it was recorded. Where no number was recorded, none is claimed.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Is it right to ask clients for a Google review?
Ask the finance head or the owner privately, and accept a letter or a LinkedIn recommendation if public reviews are not allowed. Never write the review for them or offer a discount. Many clients keep vendor names private, so ask rarely.
Should we reply in Kannada or Hindi if the reviewer wrote in it?
Yes, briefly, and add a line in English for other readers. A reply in the reviewer's language shows you read it. Keep it short and give a route to take the matter offline.
A review names one of our payroll executives. What do we do?
Do not name the person in your reply. Check the facts internally, speak to the executive, and report the review to the platform only if it breaks the platform's rules. Reply with the process, and keep the staff matter inside.
Do reviews matter if most of our work comes by referral?
Yes. A referred owner still searches your name before the first call. A thin or hostile listing makes the CA's recommendation harder to act on, while a few calm replies and recent reviews confirm it.
How do we market ourselves without naming our clients?
Show the control, not the logo. Describe the work by sector, state and size of payroll, and publish a note on how a run is checked. Name a client only with their written agreement, because payroll is among the most private work a company hands out.
Should we publish our per-employee rate?
No. A bare number invites the comparison you are trying to escape. Publish what the rate covers and what is billed separately, and give the figure in a written quote after a scoping call.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
