Payroll and HR outsourcing firms · Email marketing

Write when something changes that touches the owner's payroll, and only then.

Email keeps a payroll and HR outsourcing firm in front of finance heads and CAs between the events that make them buy. GullySales rebuilds your lists from people you have actually dealt with, separates prospects from clients and referrers, and keeps salary data entirely out of marketing.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

For payroll and HR outsourcing firms

Where it usually goes wrong, and what we would do.

  • “The payroll file is not a mailing list”

A client's employee data was given to run salaries. Mailing those employees about your services, or about a rival client's offer, is a breach of trust and a data-protection problem.

  • “Finance heads open a note only if it is about their problem”

A message saying a rule has changed and what to check by the cut-off gets opened. A newsletter about your firm's anniversary does not.

  • “Deadline reminders arrive in spam on the one day they matter”

A reminder sent from a shared mailbox with heavy attachments is filtered. The client misses the cut-off and blames the firm.

What we do

What we deliver for payroll and HR outsourcing firms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Lists rebuilt from real contact

Finance heads you have quoted, CAs you have met, and attendees of events where you spoke, gathered from inboxes and spreadsheets into one list with the source and date for each.

Result: You can reach the people who already know your firm.

  2. Three separate lists

Prospects, current clients and referrers kept apart, each receiving different mail written for what that reader does.

Result: A client never gets a prospect's pitch.

  3. A change notice for finance heads

A short message sent only when a rule or form changes that affects your clients, with the date you checked it and what to do next.

Result: Clients read your mail because it is rare and useful.

  4. A note to CAs and bankers

A brief message on what you took on for their introduced clients, how it went and what you need from them next.

Result: Referrers hear from you without having to ask.

  5. Service mail separated from promotion

Cut-off reminders and query replies sent as client service from a named person, apart from marketing mail, with sending set up on your own domain.

Result: Cut-off reminders reach the inbox.

  6. A count of replies and meetings from mail

Replies, meetings and quotes traced to each mailing, reported against the baseline from the audit.

Result: The mailing is judged on meetings, not opens.

How the result is measured

  • Open rate
  • Click rate
  • Enquiries from email

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

What a payroll firm needs in place before it emails an owner, a CA or a client.

Employee data kept out of marketing
Salary files, UAN and bank details given to run payroll are used for payroll only. Never build a marketing list from them, and never write to a client's employees about your own services.
A list from real contact
Build it from finance heads who asked for a quote, CAs you have met and people you spoke to at an association talk. Record the source and date. Do not buy a list of company HR emails.
Consent for alerts beyond service mail
A cut-off reminder to a client is service. A general compliance newsletter needs the person's agreement. Record when they agreed and keep the two kinds of mail apart.
A named sender on your own domain
Send from a payroll lead's name with SPF and DKIM set on the domain. A finance head replies to a person, and a reply from a free mailbox address looks like fraud around salary.
Segments by what the reader does
Prospects, current clients, CAs and bankers, and quotes lost. Each segment gets a different opening and different examples, and a lost quote is written to differently from a new enquiry.
Unsubscribe and the data protection law
Put an unsubscribe line in every marketing mail and honour it. India's data protection law applies to personal data you hold, so have your lawyer read your consent wording.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for payroll and HR outsourcing firms

  1. 1

    Assess

In the free audit we trace where your last signed clients came from, how many quotes were lost and why, and how onboarding actually runs for a new client.

  2. 2

    Make the work visible

Service pages by what you run, a note on how a run is checked, and a data-handling page, so an owner can judge your control without a visit.

  3. 3

    Fix the quote

A scoping sheet and a written quote that show what the rate covers, so you are no longer compared on one number.

  4. 4

Reach the people who recommend you

CAs, auditors, bankers, associations and software resellers, each with a short note on what you take and what you leave with them.

  5. 5

    Convert and keep

An enquiry record, an onboarding checklist with one owner, and a log of client queries that shows who is unhappy before they write the notice.

Proof

What happened when owners fixed this.

Real clients, the work we did, and the result as it was recorded. Where no number was recorded, none is claimed.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we promote other services to clients whose payroll we run?
Yes, they are your clients. Mention an exit service or a labour audit in a note from their account manager, relevant to what they said. Keep their employees' contact details out of any marketing list.
Is a compliance newsletter worth sending?
A note when something has changed and you have checked it beats a newsletter on a fixed day. Owners learn that your mail means something. Sending nothing for a long time is better than sending filler.
Why do our deadline reminders land in spam?
Usually a free mailbox or an unauthenticated domain, big attachments, and many links. Send from a named person on your domain with SPF and DKIM set, keep the text short and ask clients to add the sender to their contacts.
Should a CA get the same mail as an owner?
No. A CA wants to know that their own client stays theirs and how to refer cleanly. An owner wants to know what you would do for the payroll. Two lists, two openings, two sets of examples.
How do we market ourselves without naming our clients?
Show the control, not the logo. Describe the work by sector, state and size of payroll, and publish a note on how a run is checked. Name a client only with their written agreement, because payroll is among the most private work a company hands out.
Should we publish our per-employee rate?
No. A bare number invites the comparison you are trying to escape. Publish what the rate covers and what is billed separately, and give the figure in a written quote after a scoping call.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
