Payroll and HR outsourcing firms · Referral marketing

Most payroll clients arrive on a name, so earn the name from people who hear it first.

Referral marketing for a payroll and HR outsourcing firm means making it easy for CAs, bankers, advisers and current clients to name you when a company's payroll breaks. GullySales sets up the pack, the record of who sent whom and the thank-you routine, within the rules each referrer works under.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What referral marketing means

Referral marketing is asking an existing customer to recommend you to someone they know, usually with a reward for both sides. It differs from a loyalty scheme because it brings in a new customer rather than a repeat purchase. GullySales builds the ask and the reward into a point where a customer is already satisfied.

For payroll and HR outsourcing firms

Where it usually goes wrong, and what we would do.

  • “The CA who refers you can also replace you”

A CA who feels a client is being taken away will not refer again. The routes that last make clear what stays with the CA.

  • “Nobody records who sent the client”

A new client says a friend mentioned you. Three months later the firm cannot say which friend, so nobody is thanked and the source never repeats.

  • “A referrer fears the first mistake more than you do”

A banker or CA risks their own relationship by naming you. One late payroll for a referred client ends the flow, so the first cycle for a referral needs extra care.

What we do

What we deliver for payroll and HR outsourcing firms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A one-page note for referrers

What you take on, what stays with the CA or adviser, how a referral is handed over and who the client will deal with.

Result: A referrer can say it in a sentence and trust the split.

  2. A record of every introduction

Source, date, company and outcome logged for each referral, so the thanks and the follow-up are never left to memory.

Result: Referrers hear back, and you know who sends the best clients.

  3. A thank-you routine that respects each referrer's rules

A note, a joint client session or a return introduction, chosen per referrer. No payment arrangement is made without the referrer's own advice on what is allowed.

Result: Thanks are given in a way that keeps the referrer safe.

  4. A first-cycle care plan for referred clients

An extra review of the first payroll for any referred client, and a call to the referrer when it has gone through cleanly.

Result: The referrer's reputation is protected while yours is built.

  5. A client introduction ask

A short request made after the first cycle runs without a query, for any company the finance head knows with a similar payroll.

Result: Happy clients become a source without being pestered.

  6. Referral sources measured

Introductions, quotes and signed agreements by source, set against the baseline from the audit.

Result: You can see which relationship is paying its way.

How the result is measured

  • Referrals received
  • Referral conversion rate
  • Cost per referred customer

Recorded as a baseline before work starts, so every later report has an honest comparison.

How referrals work in this trade

Who recommends a payroll firm, what prompts them, and how to thank them without breaking their rules.

CAs and auditors
A CA refers when a client's payroll is a burden. Send a one-page note on what you take and what stays with them. Ask the CA what thanks are allowed under their own body's rules.
Bank relationship managers
A manager hears of payroll trouble when salary accounts open or move. Give them a short note to forward, record the bank and branch, and tell them how the client's first cycle went.
Current clients' finance heads
A finance head tells peers at other firms after a clean year-end. Ask once, after the first cycle runs without a query, and make it easy by offering to speak to the other company yourself.
Labour-law advisers and company secretaries
These advisers spot compliance gaps and need a payroll firm they can name. Agree who handles which part, and share a client's issue only with the client's consent.
Software resellers
A reseller sells a licence and meets clients who cannot run it. Offer a fixed handover process, record the reseller as the source, and keep their licence terms in mind.
What never to do
Do not hide a commission from the client, use one client's salary data to show another what it could save, or pay a referrer in a way their own body forbids. Ask each referrer's own institute.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for payroll and HR outsourcing firms

  1. 1

    Assess

In the free audit we trace where your last signed clients came from, how many quotes were lost and why, and how onboarding actually runs for a new client.

  2. 2

    Make the work visible

Service pages by what you run, a note on how a run is checked, and a data-handling page, so an owner can judge your control without a visit.

  3. 3

    Fix the quote

A scoping sheet and a written quote that show what the rate covers, so you are no longer compared on one number.

  4. 4

Reach the people who recommend you

CAs, auditors, bankers, associations and software resellers, each with a short note on what you take and what you leave with them.

  5. 5

    Convert and keep

An enquiry record, an onboarding checklist with one owner, and a log of client queries that shows who is unhappy before they write the notice.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we pay a CA a commission for sending a client?
Rules on fees and referral payments differ by professional body, and many CAs may not accept them. Ask the CA how they want to be thanked, and ask their institute or adviser if in doubt. Whatever is agreed should be known to the client.
How do we track who sent whom?
Ask on every enquiry how they heard of you, write the name in the record at the first call, and confirm it with the referrer. Check again at signing, since the first answer is often the person who spoke last, not first.
Will a CA see us as a threat to their payroll fees?
Some will. Draw the line in writing: you run payroll and routine filings, the CA keeps the audit, the company returns and the relationship. Offer to include them in the onboarding call. A CA who sees the client stays theirs is the best source you have.
How often can we ask a happy client for an introduction?
Once, after the first cycle runs without a query, and then when something good happens, such as a clean notice reply or a smooth year-end. Asking at every invoice trains the client to avoid your calls.
How do we market ourselves without naming our clients?
Show the control, not the logo. Describe the work by sector, state and size of payroll, and publish a note on how a run is checked. Name a client only with their written agreement, because payroll is among the most private work a company hands out.
Should we publish our per-employee rate?
No. A bare number invites the comparison you are trying to escape. Publish what the rate covers and what is billed separately, and give the figure in a written quote after a scoping call.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 90 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the review meetings.
