Payroll and HR outsourcing firms · Lead generation

Reach the owner in the week the payroll person resigns.

Lead generation for a payroll and HR outsourcing firm means finding companies whose payroll is about to outgrow one person and being known to them before it breaks. GullySales builds the outreach, the quote-request route and the record that shows which source produced a signed agreement.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What lead generation means

Lead generation is the combined work of every channel that brings in a new enquiry, whether from search, adverts, referrals or a stall at an exhibition. GullySales runs these channels together and reports the number of enquiries each one produced, not the activity behind it.

For payroll and HR outsourcing firms

Where it usually goes wrong, and what we would do.

  • “Payroll is bought on an event, not on a schedule”

A resignation, a notice, a second state or a funding round starts the search. Outreach on an ordinary Tuesday reaches nobody who needs you that week.

  • “The decision maker is not the person you reach”

The payroll executive who answers your call cannot sign. The finance head or the owner does, and has never heard of you.

  • “Small clients cost as much to onboard as large ones”

A company with a handful of employees still needs documents, a parallel run and a portal setup. Without a rule on who qualifies, the team spends its cycle on accounts that will never pay for the effort.

What we do

What we deliver for payroll and HR outsourcing firms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A target list built from trigger events

Companies in your industrial areas with signs of change: a new plant, a funding announcement, a payroll job advertised, a second state. Built by research, with the contact who decides.

Result: Outreach goes to companies that are about to need payroll help.

  2. A first message that names the trigger

A short approach written around the event, such as the open payroll vacancy, with one useful thing the finance head can do that day.

Result: Replies come from people who ignore ordinary cold mail.

  3. A quote-request form that scopes the job

A form and call script that capture headcount, states, current process, who decides and when they want to switch, before the phone number.

Result: The first call starts from the facts instead of from basics.

  4. A qualification rule in writing

The minimum size, states and pay structures you take on, and what to say to a company that falls outside, with a referral to a better-fit firm.

Result: Time stops going to accounts you cannot serve well.

  5. A route for software-stuck companies

Outreach to companies that bought payroll software and have nobody to run it, through resellers and implementers.

Result: You meet a buyer who already believes in outsourcing the work.

  6. Source recorded on every enquiry

Each enquiry logged with its source and followed to a quote and an outcome, set against the baseline from the audit.

Result: You know which source produces clients and which produces quotes.

How the result is measured

  • Enquiries generated
  • Cost per enquiry
  • Enquiries by source

Recorded as a baseline before work starts, so every later report has an honest comparison.

Where enquiries come from

A payroll firm hears from owners through calls, referrals and vendor forms, and each needs the trigger and the headcount written first.

A call after a payroll error
Record what went wrong, such as a late salary, a wrong deduction or a missed challan, and the date. Ask the headcount and the states, and who normally runs payroll. Reply with scoping questions the same day.
A CA or auditor's introduction
Record who introduced the company and whether they keep the returns. Agree with the CA what you run and what stays with them before the quote goes out, so the CA is not surprised.
A quote request from the website
Record headcount, states, pay structure, whether payroll sits in Excel, software or with a CA, and when they want to switch. Ask for a sample register with names removed before quoting.
A bank relationship manager's referral
Record the bank, the branch and the manager, and whether salary accounts are moving. Note what the manager was told about you, and thank them once the conversation closes.
A software reseller's handover
Record the software in use, who is the administrator on the client's side, and which steps the client wants you to run. Check the licence terms on who may operate the account.
A vendor registration request from a large company
Record the principal employer, the sites, the documents asked for and the licences needed. Name one person to answer the vendor form, since these requests lapse when nobody owns them.

Who it is for

This is written for these payroll and HR outsourcing firms.

  • Payroll processing firms for small and mid-sized companies
  • Statutory compliance consultants for PF, ESI and professional tax
  • Third-party payroll and contract labour compliance firms
  • Employer of record firms for foreign companies in India
  • CA and accounting firms with a payroll practice

  • Payroll software implementers and resellers who also run the payroll
  • Factory and plant compliance consultants

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for payroll and HR outsourcing firms

  1. 1

    Assess

In the free audit we trace where your last signed clients came from, how many quotes were lost and why, and how onboarding actually runs for a new client.

  2. 2

    Make the work visible

Service pages by what you run, a note on how a run is checked, and a data-handling page, so an owner can judge your control without a visit.

  3. 3

    Fix the quote

A scoping sheet and a written quote that show what the rate covers, so you are no longer compared on one number.

  4. 4

Reach the people who recommend you

CAs, auditors, bankers, associations and software resellers, each with a short note on what you take and what you leave with them.

  5. 5

    Convert and keep

An enquiry record, an onboarding checklist with one owner, and a log of client queries that shows who is unhappy before they write the notice.

Proof

What happened when owners fixed this.

Real clients, the work we did, and the result as it was recorded. Where no number was recorded, none is claimed.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Should we buy lists of company HR contacts?
A bought list has names, not triggers, and payroll is bought on an event. Most of those contacts will not need you this year. Build a smaller list from your own research in your industrial areas, with a reason to write to each.
The same company enquired twice through two sources. One lead or two?
One. Merge the records, keep both sources noted, and credit the one that started the conversation. Counting it twice flatters a source that only repeated what the first one began.
What should count as a qualified payroll enquiry?
A company inside the size and states you serve, with a payroll cycle that is due, and a person who can sign. Write the rule down so two salespeople score the same enquiry the same way.
Is walking into industrial areas still worth doing?
For plants where an accountant runs payroll on Excel, yes. Carry a one-page note, ask who handles salary and PF, leave the note and record the visit. Many owners in Peenya or Bommasandra decide on a face they have met.
How do we market ourselves without naming our clients?
Show the control, not the logo. Describe the work by sector, state and size of payroll, and publish a note on how a run is checked. Name a client only with their written agreement, because payroll is among the most private work a company hands out.
Should we publish our per-employee rate?
No. A bare number invites the comparison you are trying to escape. Publish what the rate covers and what is billed separately, and give the figure in a written quote after a scoping call.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
