Payroll and HR outsourcing firms · Sales process

Scope before you quote, and run one payroll alongside theirs before they switch.

A sales process for a payroll and HR outsourcing firm is the written order of steps from first enquiry to a live payroll: the trigger, the scoping call, the quote, the data and agreement checks and the parallel run. GullySales writes those steps with your team and records where each enquiry stopped.

A 90-minute audit call and a written, scored report. Turnaround, reporting and term are agreed in writing after the audit.

What sales process means

A sales process is the fixed sequence of steps, such as enquiry, site visit, quote and order, that every deal is expected to pass through in the same order. GullySales writes this sequence down for your business and checks that every salesperson actually follows it.

For payroll and HR outsourcing firms

Where it usually goes wrong, and what we would do.

  • “A quote given on the first call becomes the only number”

A buyer who hears a per-employee rate before the scope is known compares it with a software subscription, and the filings and query handling are never discussed.

  • “The agreement and the data checks are a stage of their own”

Larger buyers send a vendor form, an NDA and questions on data handling. Deals sit there because nobody on your side owns them.

  • “The sale is not done at signing”

The first live payroll is where the client decides whether you were worth it. A signed client whose onboarding drifts is a lost client who has not told you yet.

What we do

What we deliver for payroll and HR outsourcing firms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Steps written in your firm's words

Each step from enquiry to live payroll named as your team says it, with what must be true before a deal moves to the next.

Result: Everyone knows where a deal stands.

  2. A scoping questionnaire

Headcount, states, pay components, attendance source, number of joiners and exits, existing portal registrations and the trigger, asked before any price is given.

Result: Quotes are built on scope, not guessed.

  3. A quote template that lists inclusions

What the rate covers, what is billed separately, what the client must send and by when, and what the agreement says about responsibility.

Result: Buyers compare your quote with others on equal terms.

  4. One owner for vendor forms and data questions

A standing pack of company documents and a named person who answers each buyer's vendor form and data-handling queries.

Result: Deals stop waiting on a form nobody picked up.

  5. A parallel-run plan with a sign-off

The comparison of the old payroll and yours, who reviews the differences, who signs it off and the date the client switches.

Result: The client moves with evidence instead of trust alone.

  6. A stage record in your CRM

Every enquiry carried through the steps with the date it entered each, read against the baseline from the free audit.

Result: You can see where enquiries stall.

How the result is measured

  • Deals following the process
  • Time spent at each step
  • Drop-off rate by step

Recorded as a baseline before work starts, so every later report has an honest comparison.

Steps of a sale

Take every payroll enquiry from the first call to a live payroll in the same order.

Enquiry and trigger
Ask what started the search: a resignation, a notice, a late salary, a new state or a funding round. Record the trigger, its date and the day they want to be live.
Scoping call
Ask headcount, states, pay components, attendance source and how many joiners and exits arrive in a cycle. Record who prepares payroll today and who signs on their side.
Quote and inclusions note
Send the quote with what the rate covers and what is billed separately. Record the date sent, who reviews it and which other firms or software the buyer is comparing.
Agreement and data checks
Answer the vendor form, sign the NDA and agree who may open salary files. Record the person on each side who owns every document, and the agreement date.
Handover and parallel run
Collect previous registers, opening balances and portal access, then run one cycle beside theirs. Record each difference, its cause and who accepted it.
Go-live and first query
Confirm the date the client switches and who raises queries on their side. Record the first query, how long it took to answer and whether the client was satisfied.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Free audit call

90 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. After the call

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope, the fee and the reporting come with it, in writing.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the work runs for payroll and HR outsourcing firms

  1. 1

    Assess

In the free audit we trace where your last signed clients came from, how many quotes were lost and why, and how onboarding actually runs for a new client.

  2. 2

    Make the work visible

Service pages by what you run, a note on how a run is checked, and a data-handling page, so an owner can judge your control without a visit.

  3. 3

    Fix the quote

A scoping sheet and a written quote that show what the rate covers, so you are no longer compared on one number.

  4. 4

Reach the people who recommend you

CAs, auditors, bankers, associations and software resellers, each with a short note on what you take and what you leave with them.

  5. 5

    Convert and keep

An enquiry record, an onboarding checklist with one owner, and a log of client queries that shows who is unhappy before they write the notice.

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Who should run the scoping call, the founder or a payroll manager?
A payroll manager can run the scoping questions. The founder or a senior lead joins the quote walk-through, where buyers want to hear from someone accountable. Split it so the founder is not on every call.
When is it right to give a quote?
After the scoping sheet is filled and you have seen a sample register with names removed. A quote before that is a guess, and a guess made on a first call is the figure the buyer remembers.
A buyer only wants the per-employee rate. What do we say?
Explain what moves the rate: states, pay components, exits and who supplies attendance. Offer a short scoping call. If they still want only the cheapest figure, let the deal go. That buyer will leave at the first dispute anyway.
Should we offer a free trial payroll?
A parallel run is how a switch is made, but only start one after the agreement and data terms are signed. A free run for a buyer who never signs costs a full cycle of your team's work. Decide in writing whether it is free or charged.
How do we market ourselves without naming our clients?
Show the control, not the logo. Describe the work by sector, state and size of payroll, and publish a note on how a run is checked. Name a client only with their written agreement, because payroll is among the most private work a company hands out.
Should we publish our per-employee rate?
No. A bare number invites the comparison you are trying to escape. Publish what the rate covers and what is billed separately, and give the figure in a written quote after a scoping call.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
