Environmental testing and consulting firms · CRM

Know which quotes are open, which plants are due and who is calling them.

A CRM for an environmental firm is a single record of every plant, enquiry, quote and report date, kept so that nothing falls out of the lab manager's head. GullySales sets up the fields, the stages and the habit of using them, whether that is a sheet or a proper system.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

For environmental testing and consulting firms

Where it usually goes wrong, and what we would do.

  • “The report date is the most valuable field and nobody keeps it”

The next renewal or monitoring round at each plant is predictable. If it is not stored against the client, the call never gets made.

  • “Three people hold three versions of one plant”

The sales person has the contact, the lab has the samples and accounts has the invoice. Nobody can see the whole relationship.

  • “Quotes are tracked in an email folder”

No one can say how many are open, which have been chased or why the last five were lost.

What we do

What we deliver for environmental testing and consulting firms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A client record built around the plant

Company, each plant and its location, the contacts and their roles, the consent status, the services bought and the date of each report.

Result: One screen answers who this client is.

  2. Stages that match a lab's sale

New enquiry, scoped, quoted, followed up, work order, sampling done, report issued and next due date set.

Result: You can count what sits at each stage.

  3. A due-date list for the whole client base

Every client sorted by the next date a test or return falls due, with the caller named.

Result: Repeat work is planned rather than hoped for.

  4. Reasons for loss captured as a short list

Price, scope not covered, deadline missed, chose a known lab, no reply. One tick on closing a quote.

Result: You learn what to change in the next quote.

  5. A hand-over between sales, lab and accounts

A short checklist that moves a won enquiry into sampling, and a report into invoicing, without re-typing the client's details.

Result: Fewer mistakes in names, scope and invoices.

  6. Clean-up of the old client list

Duplicates merged, leavers' contacts replaced and wrong numbers removed from past report registers and spreadsheets.

Result: Reminders reach a person who is still there.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to record, and when

What to write down for each plant and each enquiry, and why it matters later.

Company, plant location and contact role
The same company often has several plants and different people for water, air and consent. Record which person asked for what, so the next call reaches the right one.
What triggered the enquiry
A notice, a renewal, a customer audit, a new unit or a one-off check. The trigger decides the deadline and the tone of your follow-up.
Tests or approvals requested and sampling points
Write the parameters and the number of sampling points in the record, not only in the quote. It lets you compare what was asked against what was done.
Quote date, value and the next follow-up
Set the follow-up date when the quote leaves, with a named caller. A quote with no next date is an open question nobody owns.
Outcome and reason
On winning, record the work order number. On losing, tick one reason. After a few months those reasons will show whether price, scope or response time is costing you jobs.
Do you need software yet?
A shared sheet with these columns works for a small lab with one or two sales people. Move to a CRM when several people update the same records or follow-ups are being missed.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the crm work runs

  1. 1

    Map the sales process

We record how a deal actually moves from enquiry to close in your business today.

  2. 2

    Configure stages and fields

The CRM's pipeline and fields are built to match that process exactly, not a generic template.

  3. 3

    Set up automations

Reminders, assignment rules and follow-up triggers are configured so routine steps happen without manual effort.

  4. 4

    Test with real deals

We run the configuration against actual current deals to catch gaps before the whole team relies on it.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Spreadsheet or CRM, which should a lab use?
A well-kept spreadsheet beats a CRM nobody updates. Move to software when more than two people work on the same enquiries, when you want automatic reminders, or when the sheet is too large to search. The habit comes first.
Our field staff never update anything. What do we do?
Make the update small and part of finishing the job. A mobile form with five fields, filled before leaving the plant, beats a long entry made days later. The manager reads it in the review, so it is worth doing.
What do we do with WhatsApp chats that hold the whole deal?
Copy the decisions into the record: scope agreed, date, price, who approved. You do not need to save the chat, but you do need the facts, or the deal disappears when a phone changes.
Who owns the client data if we change systems?
You do. Keep the account under a company email, export the data regularly in a format you can open, and check that any supplier will hand it back in full if you leave.
We are a small lab in an industrial estate. Do we need all this?
You need the first part: a clear page for each test and a fast, written reply. A lab with one good enquiry route and a follow-up habit can out-sell a larger one that answers late. We will say what to leave alone.
Can we say our report is accepted by the pollution control board?
Only if you can show it, and only in general terms. Board requirements differ by state and change over time, so state your accreditation and recognition exactly as on your certificate and tell buyers to confirm current requirements with their own board.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
