Environmental testing and consulting firms · Customer retention

Keep the plants that need you again every year.

Customer retention for an environmental firm means making sure plants that needed a report once come back at the next renewal, annual round or expansion. GullySales works from your own invoices and report dates to find who is due, who lapsed and who to call first.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What customer retention means

Customer retention is keeping an existing customer buying again rather than losing them to a competitor after the first purchase, usually cheaper than winning a new customer. GullySales sets a routine of check-ins and renewal reminders aimed at customers before they show signs of leaving.

For environmental testing and consulting firms

Where it usually goes wrong, and what we would do.

  • “The renewal is on your file and nobody sees it”

Reports carry dates, but the dates are not gathered anywhere. A plant due next month gets a call from a rival before it gets one from you.

  • “A plant goes quiet after one job”

No follow-up asked how the board took the report or whether anything else was needed, so the contact cools.

  • “A change of EHS manager loses the account”

The new person brings his own lab. Nobody at your end noticed the change until the invoices stopped.

What we do

What we deliver for environmental testing and consulting firms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A list of clients by next due date

Built from your report register and invoices, showing each plant, its last job and the date its next test or return falls due.

Result: You know whom to ring before they ring someone else.

  2. A lapsed client list with a reason where known

Plants that used you before and have not for over a year, with the last contact and any note on why.

Result: Win-back calls start from what you know.

  3. A check-in after each report

A call or message after delivery to ask whether the report was accepted and whether other work is coming.

Result: You hear about the next job early.

  4. A multi-plant account view

Companies with several plants shown together, with a note of what each buys and which plants have not yet used you.

Result: One good account becomes several.

  5. A simple annual contract offer

For plants with fixed periodic tests, a written proposal that lists the rounds and sampling points for the year.

Result: A repeat plant plans its work with you.

  6. A watch for contact changes

A routine to confirm each plant's EHS and purchase contact when a report is delivered, and to update the record.

Result: A new manager meets you before he meets a rival.

How the result is measured

  • Retention rate
  • Repeat purchase rate
  • Customers won back

Recorded as a baseline before work starts, so every later report has an honest comparison.

Work it out from your records

Measures you can work out from your own report register and invoices.

Plants that came back
From your invoice register, list each plant billed in the last two years. Mark those billed in more than one separate period. The marked ones are your repeat plants.
Plants due for the next test
From each report's date, add the interval that plant needs and write the next due date in the client record. Sort by date. That sorted list is your calling list.
Plants that lapsed
Take plants that were repeat clients and have not been billed for longer than their usual gap. Add the last contact and the person who handled them.
Services each plant has not yet bought
For each repeat plant, tick which of your services it uses. The blanks, such as noise or drinking water, are the next conversation.
Plants whose contact has changed
Check the last contact's email or number when a report is issued. If it bounces or someone else replies, find the new person and add them to the record.
Reasons for leaving
When you reach a lapsed plant, ask once why. Write the reason in one word, such as price, delay, scope or merger. Count the words after a few calls.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the customer retention work runs

  1. 1

    Assess current retention

A first read of current retention rate, existing tactics and where they are or are not coordinated.

  2. 2

    Build the strategy

A written plan developed covering priority segments, touchpoints and a measurable target.

  3. 3

    Align existing tactics

Current retention activities mapped against the strategy and adjusted to work together rather than independently.

  4. 4

    Track toward the target

Retention tracked against the goal, with the strategy adjusted as results come in.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

When does a client count as lapsed?
When they have passed the gap between their own usual orders by a fair margin, not by a fixed calendar number. A plant that tests every year is lapsed sooner than one that tests every three. Set it per client.
Should we offer a discount to win back a lapsed plant?
Ask why they left first. If it was a delay or a mistake, fix it and say so. A discount to someone who left over service teaches nothing and costs you margin.
Who should call the old clients?
The person who handled their last job, if still with you, because the plant knows him. Otherwise, a senior person who can talk about the report and the scope, not a junior reading a script.
Is an annual contract a good idea for every plant?
No. It suits plants with periodic requirements and steady setups. For a one-off project or a plant that changes processes often, a fresh scope each time is cleaner for both sides.
We are a small lab in an industrial estate. Do we need all this?
You need the first part: a clear page for each test and a fast, written reply. A lab with one good enquiry route and a follow-up habit can out-sell a larger one that answers late. We will say what to leave alone.
Can we say our report is accepted by the pollution control board?
Only if you can show it, and only in general terms. Board requirements differ by state and change over time, so state your accreditation and recognition exactly as on your certificate and tell buyers to confirm current requirements with their own board.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
