SaaS and software companies · Email marketing

Keep outbound off the domain that sends your invoices.

Email for a software company is two separate systems: the outbound that goes to strangers, and the lifecycle mail that goes to people already inside the product. GullySales separates the sending, writes the onboarding and trial sequences, and keeps the list clean enough to arrive.

A post room: a wall rack of pigeonholes with sorted letters and strapped bundles, a loaded mail trolley wheeled up in front of it, and on the bench a franking machine with one envelope under the press arm, franked and cleared

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

For SaaS and software companies

Where it usually goes wrong, and what we would do.

  • One careless year makes the main domain unusable

Volume against a bought list follows you into your customers' inboxes, and password resets start landing in spam months afterwards.

  • Nobody owns the onboarding sequence

The product sends more email than marketing does, an engineer wrote it in a hurry before launch, and nobody has read it since.

  • A newsletter to dead trials is not lifecycle

Signups who never reached the first useful action do not want a product update. They want the step where they gave up.

What we do

What we deliver for SaaS and software companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Separate sending domains for outbound

Dedicated domains, warmed inboxes, authentication records checked, and a volume cap per inbox that nobody is allowed to breach in a slow quarter.

Result: Your billing mail keeps reaching customers.

  2. An onboarding sequence keyed to the activation step

Mail triggered by what an account did or failed to do inside the product, rather than by how many days have passed since signup.

Result: New accounts reach the point where the product makes sense.

  3. Trial expiry and win-back written properly

A sequence for the days before a trial ends and another for accounts that lapsed, each written around what they actually used.

Result: Trials you paid for get a second chance.

  4. A monthly note live accounts open

A short product and usage note written to be useful rather than to fill a send, with the expansion ask placed in the right month.

Result: Existing accounts hear from you without being sold to.

  5. List hygiene and consent handled

Bounces removed, dormant addresses suppressed, unsubscribes honoured across every system, and the consent record kept where your counsel can read it.

Result: Your sender reputation stops slipping.

  6. Deliverability and replies in the monthly report

Inbox placement per domain, reply rate, meetings from email and lifecycle conversion, read against the baseline recorded before work began.

Result: A dying domain is visible before it is dead.

How the result is measured

  • Open rate
  • Click rate
  • Enquiries from email

Recorded as a baseline before work starts, then reported every month against it.

Who it is for

This is written for these SaaS and software companies.

  • Seed and Series A B2B SaaS still selling founder-led
  • Bootstrapped vertical SaaS with a small team
  • Product-led companies adding a sales motion
  • Developer tools moving upmarket into team plans
  • Healthcare, fintech and other compliance-heavy software
  • Agencies and services firms productising a platform
  • Marketplaces with a supply side to recruit
  • Companies with a full AE bench and no pipeline to feed it
  • Software companies entering the US from another market

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first monthly report.

No open-ended retainer. Each step has a point in time and something you receive.

  1. 01 · Day 1

    Free audit call

45 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · Within a few working days

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope and fee come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later month has an honest comparison.

  4. 04 · Month 1

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · Every month

    Report against the baseline

What moved, what did not, and what changes next, in plain words.

  6. 06 · Month 3 to 6

    Renew on the numbers

The term ends and you decide whether to continue from the results. No twelve-month lock.

How the work runs for SaaS and software companies

  1. 1

    Assess

In the free audit we trace last quarter's pipeline to its real source, check reply rates and meeting show rate, and look at what happened to inbound signups.

  2. 2

    Stop the inbound leak first

Routing, a first human reply and a call attempt on inbound, because those leads are already paid for and usually the cheapest pipeline in the building.

  3. 3

Build the list and the message

The account list from your closed-won pattern, the sending domains, and a first sequence written around a trigger your prospect would recognise.

  4. 4

    Run outbound and hand over

Sequences worked daily, objections logged, and every qualified meeting handed to your AE with the research already in the CRM record.

  5. 5

    Report on held meetings

Meetings held, cost per meeting and pipeline by source each month, with the sequences that produced nothing retired instead of quietly continuing.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every monthly report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No lock-in, no guarantees we cannot keep

Three to six months at a time. We never promise a ranking or a lead count, because nobody controls those.

  • Hours that fit your day, agreed up front

Which hours we overlap with yours is settled before any work starts, so you know when a reply is coming and when it is not.

FAQ

Questions owners ask before they call.

Can we email prospects in Europe?
That turns on rules your own counsel reads, not on a blanket answer from a marketing firm. What we control is volume, targeting and a working unsubscribe, which is what gets a domain blocked in practice. The consent record is kept in a form your lawyer can review.
How many outbound emails a day per inbox?
Fewer than the tools will let you send. We agree a cap before starting and hold it even in a slow quarter, because recovering a domain takes months. Volume trades a year of deliverability for one week of activity.
Is this cheaper than hiring an SDR?
Per month, for most companies, yes. The more useful difference is that the work does not stop when one person resigns. You are also not paying for a quarter of ramp before the first call goes out. Put our fee next to the fully loaded seat cost your finance lead already tracks.
Will your team cold call our US prospects?
Where it fits, and we will tell you where it does not. A cold call from somebody who is not on your payroll is a real objection in US mid-market, and pretending otherwise would waste your money. For most companies we lead with email and LinkedIn, book the call, and put your AE or founder on it.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
Three to six months at a time. There is no twelve-month lock, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile usually show in weeks, because the enquiries already exist. Ads show in days once follow-up is ready. SEO and content take months. The audit tells you which applies to you.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 45 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the monthly review.
What if we are not happy with the work?
Tell us and the plan changes. Every month is reported against the baseline, so a number that is not moving is visible to both sides. Terms run three to six months at a time, and the refund and cancellation policy sets out the rest.
