System details at first contact
Record inverter make, system size, install year and the original installer. The first call gives the make and the size, and the visit gives the serial number.
Faults and what was found
Write the symptom in the owner's words and the cause in the engineer's. Over a season this shows which fault comes up most and which make it belongs to.
Readings at every visit
Record the generation and any fault code on arrival and before leaving. Without them, an owner's claim that cleaning changed nothing cannot be answered.
Photographs on the record
Keep the display, the serial plate, the roof and any damage with the visit, not on the engineer's phone. When he leaves, the photos stay.
Quote, contract and renewal dates
Put each quote date, the amount quoted, the contract start and the renewal date on the roof's record. Renewal reminders come from these dates.

Can we manage with a spreadsheet?
Yes, for a small number of roofs, with one row per roof and one person who keeps it. It breaks when two people edit it, when photos must sit with the record, or when renewals depend on reminders. The audit will show which side you are on.
Our engineers will not update anything. What then?
Cut what they must enter to what only they know: findings, readings, a photo and whether parts are needed. The desk fills the rest from their message. A long form on a roof is a form nobody fills.
Our customer details sit in WhatsApp chats. Do we lose them?
No, but they must be copied into the roof record, because chat search will not find a serial number from last year. Start with the roofs whose contracts come up for renewal and add the others as they call.
Who owns the customer data in the CRM?
You do, and your agreement with any software firm should say so and say how you export it. Owners' phone numbers and addresses are personal data, so keep access to those who need it and check your obligations with your adviser.
Customers only want cleaning and stop after one visit. How do we sell a contract?
