List every AMC with its start date and add one year to each. Those falling in the coming season are called first. Mark which are already paid.
Renewed against lapsed
For contracts that fell due last season, count those paid again and those not. Put the two counts side by side on one sheet. The gap is your lapsed list.
One-off cleaners who never came back
From invoices, list customers billed for one cleaning and not billed again within a year. They never were contracts, and they are your first offer list.
Reasons for leaving
On every lapsed customer, record why in their words: moved, cheaper cleaner, did not see the point, unhappy. Count the reasons by type after a season. The largest group is what to fix first.

When does a customer count as lapsed?
Decide it from your own pattern and write it down. A contract customer lapses when the renewal date passes without payment. A cleaning customer lapses when the gap since the last visit is longer than their usual round.
How do we win back someone who went to a cheaper cleaner?
Ask what they felt was missing, without pitching. If their system is producing well, say so and offer an inspection for when they next want one. Never run down the other cleaner, and accept a no.
Should the engineer or the desk make the renewal call?
The desk makes it. Owners talk to the engineer about the roof and to the desk about money, and keeping the two apart stops the engineer bargaining over a price on the roof. The engineer's notes from the visit go into the call.
Should we offer a discount for renewing early?
Try it on a few renewals and compare with the register before you offer it to all. A standing discount teaches owners to wait. An extra inspection visit in kind costs you less and shows the owner what the contract covers.
Customers only want cleaning and stop after one visit. How do we sell a contract?
Price the single cleaning on its own, and sell the contract on what a cleaner cannot give: an inspection, readings at each visit and a named engineer for faults. Show a sample visit report before the owner decides. Some owners will only ever want a bucket and a hose, and that is a fair answer.
