Used car dealers · Follow up systems

Ring the buyer who drove the car on Sunday before another lot does.

Follow-up in a used car dealership is what happens after the visit: the buyer who drove the car and went home to think, the one waiting for a loan answer, the one who said he would bring his father. GullySales builds the call list, the words for each case and the note that records why a sale did not happen.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For used car dealers

Where it usually goes wrong, and what we would do.

  • “The car has been driven, so he is the best lead on the lot”

A buyer who has driven your car is nearer to buying than any new enquiry. If nobody calls him within a couple of days, another dealer's call is the one he takes.

  • “The family decides after the visit”

The buyer who says he will bring his wife or father is deciding at home. A message with the car's photographs and the date it can be held for him gives him something to show them.

  • “A price drop is told to nobody”

A car that came down should reach everyone who walked away because of the price. Most lots tell nobody, and the buyer finds out from a rival.

What we do

What we deliver for used car dealers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A list of buyers who drove a car and did not buy

Everyone who test drove or visited and left without booking, taken from the register with the car, the date and what he said.

Result: The buyers nearest to a decision are on one page.

  2. Wording for each reason a buyer goes quiet

Short, plain scripts for the buyer who needs to think, the one waiting for a loan, the one comparing a rival's car and the one who wants his family to see it.

Result: Staff say something that fits his reason instead of asking if he has decided.

  3. A car-held message with a date

A rule and a message for holding a car for a named buyer until a stated day, with the day written in the register.

Result: A hesitant buyer has a reason to come back, and so does the lot.

  4. Price-drop messages to those who walked away on price

A list of buyers who left because of the price, matched to the cars whose price has changed, with a short message to each.

Result: The buyer hears about the new price from you, not from a rival.

  5. Sold-car replies that offer a similar car

A message for the buyer whose car has sold, naming the day it went and offering the nearest two on the lot.

Result: A lost car becomes another visit.

  6. One line on why each sale was lost

The reason in the buyer's own words, entered by whoever spoke to him last.

Result: You learn which cars, prices and answers lose sales.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for dealers

What the lot does next for each kind of buyer who has gone quiet.

Enquired, not yet answered
The person who took the message calls the buyer the same day and sends photographs. If he does not pick up, send a WhatsApp with the car and your hours, and note the attempt.
Visited and test drove, no decision
The salesman who showed the car rings the next day, asks what is holding him back and writes the answer down. Offer a second drive or a visit with the family.
Loan application pending
Check with the lender before you ring, so you have a real status to give. Tell him which document is missing and note the date he promised it.
Said he would think about it
Do not ask whether he has decided. Ask which of the two or three cars he liked and send that one, with any change in price. Write the date he named for deciding.
Car sold to someone else
Tell the buyer the day the car goes and offer the nearest two on the lot. Ask whether he still wants the same model or has changed his budget.
Bought a car some years ago and may want to change
From the register, ring owners of cars of the kind people change. Ask about the car and offer an exchange valuation, not a sales pitch.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the follow up systems work runs

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How many times do we follow up a buyer who has gone quiet?
Until he says no, buys elsewhere or stops answering after several contacts that each had a reason: a price change, a similar car or a held date. Then write why in the register and stop, and add him to new-arrival messages only if he agreed.
Who should call, the salesman or the owner?
The salesman who showed the car, because the buyer knows him. The owner calls when a price or a held car needs a decision. Put the next call date in the register, so it survives a day off.
Do we message a buyer about a car that has now sold?
Yes, once, saying it has gone and offering one or two like it, on the day it sells. Do not send the whole stock list. He asked about one kind of car, and a short message with a similar one keeps him.
A buyer says he is also looking at a rival's car. What do we do?
Ask which one and what he likes about it. Send what you can show: the service history, the condition note, a held date, a warranty. Do not run the other car down. Write the rival and the reason in the register.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
