What to record, and when

What a commercial leasing team should record about each requirement and tenant, and whether software is needed yet.

First introduction, with date and time
Record who brought the requirement, the company named and the exact time. Introductions decide commission, and memory loses that argument.
Area, move date and current lease end
Write all three at the first call. A company whose lease ends well after your floor is free is a requirement to plan for, not one to chase this week.
Who signs on the occupier's side
Name the admin head, the CFO, the founder or the board, and note which of them has toured. A deal stalls at whoever has not seen the floor.
Term sheet points still open
List lock-in, escalation, rent-free fit-out period, deposit and car parks as agreed or open. Legal review moves faster when the open points are written down.
Tenant dates once the lease is signed
Enter lock-in end, escalation and renewal notice for each tenant. Keeping a tenant costs less than finding a new one, and the renewal starts from these dates.
Do you need software yet?
One broker with a few live requirements can work from a sheet. A landlord with several buildings, brokers and tenants needs a shared CRM, because introductions and lease dates cannot sit in one person's file.

Our leasing team works on WhatsApp. How does that get into the CRM?
Use a business WhatsApp number the company owns, and log the requirement, the floor plate sent and the reply in the record after each exchange. Brokers keep messaging as they do now. The introduction time must be copied in, not left in a chat.
Our managers do not update the record. What works?
Make the record the only place a tour can be booked and a term sheet raised from. Then pay incentives on what the record shows. A rule without that link is ignored soon after it is announced.
Who owns the data if brokers register requirements in our CRM?
You do, as the landlord. Give brokers a form to register requirements, with no access to other brokers' introductions or your tenant list. Write the arrangement into the broker agreement.
Can one CRM hold both leasing and the sale of units?
Yes, with separate stages. A lease runs through tour, test fit, term sheet and lease deed; a sale runs through tour, offer, agreement and registration. Keep two pipelines on one company record, so an occupier who later buys is recognised.
Do you work with commercial brokers or only with developers?
Both. A developer or landlord needs building pages, a broker pack and a record of who introduced each occupier. A broker needs micro-market pages and a requirement record that does not live in one person's phone, and the free audit shows which comes first.
Do we need RERA registration to market commercial space?
It depends on whether you sell units or lease them, and on your state's rules, which change. A project selling offices or shops to buyers may need registration before it is advertised. Check with your lawyer before any sale campaign runs; we publish registration details only after you confirm them in writing.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after the audit, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place. SEO and content take longer. How long each takes depends on your business, and the audit tells you which applies to you. Nothing here is guaranteed.
